Summary:

Works as the Sales Coordinator for the VP of Sales & Marketing, Corporate Director of  Sales and the Associate Director of Group Sales in maintaining all sales reporting and tracking functions, as well as assists with internal and external customers in the Group Market, providing support in achieving the department’s goals and objectives. This position supports the overall department process; acting as a liaison among external channels and customers.  Performs all sales, marketing and customer services as needed.

Essential Functions:

  • Maintains 3rd Party website Group Sales Promotions – keeping them up to date and accurate
  • Develops and maintains all sales reporting and tracking functions, such as Group rooms control, group room night projections, quarterly booking goals, etc
  • Work with Maestro sales system & Delphi to input and change opportunity information
  • Handles all incoming telephone calls with proper phone etiquette and address the customer’s questions and concerns during the initial call or direct calls to the appropriate person. Follow-up whenever necessary.  Advise manager of your actions.
  • Assist with entry of new accounts, with corresponding traces and notes
  • Assigns meeting space for all group functions
  • Distribute signed contracts as appropriate
  • Process amenities and welcome notes
  • Be familiar with Stein Eriksen Lodge’s top accounts and key contacts
  • Use and maintain office equipment
  • Order or requisition supplies via an approved purchase order (i.e. office supplies, menus, brochures, stationary, meeting planner kit inserts sales forms, sales tools, etc.)
  • Assist in closing on business
  • Process Site inspection forms
  • Assist in travel plans and scheduling for managers and stay informed of their weekly schedule when needed
  • Complete other projects and reports as required, needed or assigned

Other Responsibilities:

  • Requires contact with both internal and external customers including end user, intermediary, meeting planner, corporate staff, external sales channels, hotel managers as well as the hotel sales departments and other hospitality industry leaders. Interact internally with all hotel departments.
  • Work efficiently and effectively as a liaison between the Managers and customers. Duties require daily business operations, handling incoming telephone calls, providing assistance as directed by individual managers and other staff concerning job-related functions and completing projects as assigned in a timely manner.  Also responsible for the processing of opportunities, maintenance of accurate data and communication of information amongst team and internal/external.  Customer service skills are essential in assisting with the closure of potential business.
