Job Overview:
We are a dynamic and growing floral company seeking an Onsite Event Lead & Logistics Coordinator to help us deliver exceptional floral experiences. This individual will work closely with venue staff, contractors, and our internal team to ensure seamless event execution. The role requires a mix of office coordination, hands-on floral work, and field presence, with a focus on maintaining high service standards and operational efficiency.
Key Responsibilities:
- Act as the primary liaison between the floral company and venue staff/management to
ensure they receive proper marketing materials, equipment, and support for all events.
- Coordinate, schedule, and manage staff and contractors for on-site events to ensure
timely and smooth setup and execution.
- Oversee inventory management, including containers, display hardware, tools, and other necessary event materials.
- Maintain and organize the warehouse to ensure all floral supplies, containers, tools, and equipment are stored properly and ready for use.
- Coordinate transportation of goods, including arranging U-Hauls and handling outside
rentals as required for events.
- Assist with processing and storing weekly fresh florals to ensure inventory is managed
efficiently.
- Support the setup and delivery of smaller-scale events during the week.
- Uphold our high level of service standards by ensuring that both the team and
contractors perform at their best during events.
- Foster clear and effective communication between staff, contractors, and event venues
to ensure all expectations are met and exceeded.
- Work towards operational efficiency to help maximize profits and improve team
performance.
- Provide occasional hands-on floral design assistance when needed.
Qualifications:
- Minimum of 3 years of event management and/or logistical coordination experience.
- Strong organizational skills and an eye for detail.
- Previous experience working with floral arrangements or an understanding of floral
design is a plus.
- Ability to lift up to 50lbs and physically manage event setups.
- Must possess a valid driver’s license and be comfortable with transportation
responsibilities, including driving company vehicles.
- Ability to work both in the studio and on-site at events (40% in studio, 60% in the field).
- Excellent communication and leadership skills with the ability to collaborate effectively
with a variety of team members and external partners.
