What are the responsibilities and job description for the Facilities Specialist position at Step by Step Inc.?
The Facilities Specialist directly reports to the Property & Risk Manager.ESSENTIAL FUNCTIONSMaintenance:
- The scope of duties includes maintenance repair of all Step By Step, Inc. owned properties and at leased properties if applicable and as directed.
- Responsible for building and office maintenance and repair that does not require a professional license (such as general and repair painting, installing/repairing drywall, patching, minor plumbing repairs, general carpentry, installation of household items, changing furnace filters, removing window air conditioning units, etc.).
- Schedules and meets with contractors to obtain bids for renovations and repairs as directed by the Property & Risk Manager.
- Grounds: Maintains general cleanliness, neatness to include performing lawn and landscape care as needed, snow removal on sidewalks and general access areas as needed, manage contracts for plowing, and clean gutters as needed.
- Performs general maintenance and safety inspections as needed with the agency insurance carriers.
- Establish contractor accounts at supply stores to facilitate availability and reduce the cost of maintenance supplies, materials, parts and including the use of lower cost bulk pricing when available.
- Manage parts / equipment / materials/ supply inventory.
- Tour and evaluate new property purchases to determine scope of repair needed.
- Minor vehicle maintenance as needed, such as wiper blade installation, filling washer fluid, etc.
- Responsible for maintenance and upkeep of agency equipment and tools.
- Oversees assigned contract renovations and assigned independent contractor work.
Safety:
- Must have working knowledge of all security and fire alarm systems operating within the Northeast Region in order to conduct equipment tests on a regular basis.
- Must wear safety shoes when job required.
- Must wear eye protection when sawing, drilling or hammering.
- Must wear gloves when handling sharp objects.
- Must wear facial mask when sanding indoors, i.e. wood, metal, drywall, plaster.
- Responds to safety issues utilizing standard procedures.
- Responsible for immediately communicating any physical plant and/or structural problems/hazards to supervisory staff and to the appropriate Director.
- Assists in moving furniture and other items when needed at sites / facilities.
- Participates on safety committee and makes recommendations.
Representative Landlord:
- Assists in providing tours for and reviews guidelines of the facility with prospective tenants.
- Monitors utility use by tenants.
- Reports lease and guideline violations to appropriate supervisory personnel.
- Oversees deliveries / physical plant repairs and renovations.
- Coordinates cleanup of homes.
Service:
- Establishes effective communication and good working relationships with all Northeast Region Directors and Managers.
- Maintains good communications daily including by cell phone when away from the home office. Communicates location and activity to Property & Risk Manager throughout the workday.
- Completes trainings and or in-service instructions as assigned by Property & Risk Manager.
- Complies with all Agency Policies and Procedures, including but not limited to the following: Confidentiality of Client and Staff Information, Client Rights Policy, Client Abuse Policy, Client Abuse Reporting Procedures, Incident Reporting Procedures, and Agency Personnel Policies.
On-Call:
- Responsible to be available and on-call for maintenance emergencies in the Northeast Region.
- All other duties as assigned.
Education and/or Experience:
High school diploma/GED equivalent plus a minimum of 5 years' experience in construction or in an all-purpose handyman job.
