About the Role
At Step Up ABA, we’re seeking a highly organized and compassionate Administrative Coordinator to join our growing team. In this role, you’ll play a key part in ensuring the smooth operation of our clinic and supporting both our clinical team and our families. You’ll manage essential administrative tasks that keep the office running efficiently, help maintain excellent attendance records, and ensure our clinical documentation is accurate.
As an Administrative Coordinator, your role will be multifaceted, and you’ll have the opportunity to directly contribute to the success of our programs while working in a supportive and collaborative environment.
Key Responsibilities
Scheduling & Attendance Management
Manage client appointments and direct care staff schedules in our practice management system, making adjustments as needed to meet the needs of both staff and families
Follow up with families regarding cancellations, monitor client attendance, and collaborate with families to ensure maximum participation in therapy sessions
Track and report on attendance metrics, working with the Clinical Director to monitor Key Performance Indicators (KPIs) related to scheduling and attendance
Ensure that scheduling changes are communicated effectively and accurately with all parties involved
Human Resources & Payroll
Oversee the onboarding process for new hires, ensuring all necessary paperwork is completed and staff are set up for success from day one
Maintain accurate employee records and assist in the recruitment and retention of our dedicated team members
Process payroll and manage employee time-off requests, ensuring that all PTO, hours worked, and payroll data are accurately tracked and processed
Audit clinical documentation to ensure session notes, signatures, codes, and authorizations are properly completed and compliant with company standards
Office Administration & Communication
Assist with day-to-day office organization, maintaining supplies and ensuring the office runs smoothly
Act as a liaison between staff, management, and families to ensure smooth communication across the board
Handle general administrative tasks, such as preparing reports, filing, and assisting with staff training coordination
Skills and Qualifications
Organizational Skills: You are highly detail-oriented and capable of managing multiple tasks and priorities
Communication Skills: Excellent verbal and written communication skills to interact effectively with clients, families, and staff
Tech-Savvy: Comfortable with Microsoft Office Suite (Word, Excel, PowerPoint) and quick to learn new technology platforms like CentralReach
Human Resources Experience: Prior experience with onboarding, payroll processing, or managing employee attendance is a plus
Client-Focused: A passion for helping children with autism and improving their lives through collaborative care
Bonus Points: Experience with social media marketing, although it’s not a requirement
What We Offer
Competitive Salary: $56,000 - $62,000 per year (based on experience)
