At Step Up ABA Therapy, our mission is to empower children with autism by partnering with families to provide exceptional ABA therapy. We are a growing practice in Kent and Des Moines, Washington, and we are excited to expand our team as we work to serve more families and children in our community.
As our Executive Assistant/Office Manager, you will play a key role in supporting the owner with essential administrative tasks and ensuring smooth billing and credentialing processes.
Your Responsibilities
Executive Assistant Support
- Calendar & Scheduling: Manage the owner’s calendar, scheduling appointments and meetings as needed.
- Communication: Review and prioritize emails and communications between the owner and staff.
Billing & Invoicing
- Insurance Claims: Submit insurance claims with accurate codes and documentation. Prior experience with insurance billing is a plus.
- Accounts Receivable: Track payments, follow up on outstanding balances, and liaise with clients and insurance companies.
- Invoicing: Generate and send invoices to clients, ensuring timely follow-up on overdue balances.
- Billing Audits: Assist in maintaining compliance with billing practices and ensure accuracy in client billing.
Credentialing Responsibilities
- Managing Credentialing: Assist with credentialing new staff with state agencies and insurance providers.
- Tracking Certifications: Ensure that therapists’ certifications and licenses are up-to-date and manage renewal processes.
- Recredentialing: Support the recredentialing process to ensure our therapists stay compliant with insurance requirements.
Payroll & Office Support
- Payroll Assistance: Assist with payroll tasks, ensuring timesheets and pay rates are accurate.
- Office Organization: Help maintain the office environment, including managing supplies and handling day-to-day administrative tasks.
What We’re Looking For
- Education: High school diploma required; bonus points for a degree in business administration, healthcare, or a related field.
- Experience: At least 2 years of experience as an executive assistant or in an administrative role. Experience with billing or credentialing is a plus.
- Billing & Credentialing Knowledge: Familiarity with medical billing software and the insurance claims process is preferred.
- Organizational Skills: Excellent organizational skills, with the ability to juggle multiple tasks and keep things running smoothly.
- Communication: Strong written and verbal communication skills, particularly when working with clients, insurance companies, and our internal team.
- Tech-Savvy: Proficiency in Microsoft Office (Word, Excel, Outlook), Calendly, Canva, and ideally experience with practice management software.
