This is a senior-level administrative support position responsible for a variety of administrative services to include personnel matters, events, and other activities essential to the operation of a college. Works under general supervision, with moderate latitude for the use of initiative and independent judgment. Reports to the Dean or their designee.
Essential Job Functions
1. Coordinates administrative operations of the college and dean’s office and completes other administrative tasks as necessary.
2. Advises administrators and staff regarding university policies and procedures. Ensures proper communication on changes.
3. Oversees other support areas of the college and college development support for the dean.
4. Serves as a resource to faculty on personnel matters including recruitment, hiring, workload and assignments, leaves, grievances, and tenure process.
5. Coordinates and/or assists with college event preparation and execution and provides advanced support for department events as needed.
6. Maintains personnel records for faculty and staff.
7. Acts as a liaison to other colleges and departments regarding various administrative issues.
8. Handles routine and confidential correspondence.
9. Ensures all reporting requirements and deadlines are met and ensures compliance with policies and deadlines.
10. Researches and resolves problems as they arise, referring more complex issues to the assistant to the dean.
11. Trains department-level administrative support staff to ensure understanding of administrative policies and procedures specific to the college, division, and university.
Non-Essential Job Functions
1. May receive and/or supervise the receipt of payments from students and others for college-sponsored activities.
2. May handle cash and cash receipts for the office in accordance with university policy.
3. May coordinate and assist with a variety of special projects, as assigned.
4. May compile statistical data and prepare reports of college activities and events.
5. May assist in counseling students and provide information where applicable.
6. May provide backup to other college administrative support staff.
7. May coordinate college committees.
8. May supervise students and graduate assistants.
9. Performs other related duties as assigned.
Required Knowledge, Skills, and Abilities
The individual must possess the following knowledge, skills and abilities or be able to explain and demonstrate that the individual can perform the essential functions of the job, with or without reasonable accommodation.

1. Knowledge of, or ability to learn, university and departmental policies, procedures, and fiscal regulations.
2. Knowledge of records administration and maintenance techniques and procedures.
3. Knowledge of general office practices and procedures as they apply to office administrative operations.
4. Skill in the use of computer applications, including spreadsheet, word processing, database and other analytical software.
5. Ability to communicate effectively in both oral and written form.
6. Ability to devise solutions to administrative problems.
7. Ability to set priorities and complete assignments on time.
8. Ability to understand and interpret policies and procedures accurately.
9. Ability to establish and maintain a good rapport with university faculty and staff, students, and the general public.
10. Ability to accurately prepare and maintain records, files, and reports.
11. Ability to work with and maintain confidential information.
12. Ability to train others.
Physical Demands Required Education
Bachelor’s degree is required. Related experience may be substituted for required education on a basis set forth by the Department of Human Resources.
Required Experience and Training
Three years of related office administration or business management experience is required. Additional education may substitute for experience on a basis set forth by the Department of Human Resources.
Preferred Qualifications
Bachelor’s degree in a related field is preferred. Experience in higher education is preferred. Supervisory experience is preferred.
Special Conditions for Eligibility
This is a security-sensitive position subject to criminal record check.

Min Pay Rate Mid Pay Rate Salary Information Commensurate with Experience, Salary Grade - 14 Specific Job Requirements/Duties for this Posting
This position reports to the Dean.

This position is eligible for participation in the Teacher Retirement System of Texas (TRS) retirement plan, subject to the position being at least 20 hours per week and at least 135 days in length.
