Job Overview:

 

Stephen Gaynor School is seeking a dynamic and enthusiastic After-School Athletics Coordinator to join our team. The successful candidate will be someone who is passionate about sports and student development. If you have a love for sports, excellent organizational and communication skills, and a desire to make a positive impact on young lives, we want to hear from you!

 

This is a part-time position, for 16 hours per week, hours are flexible however campus presence will be needed between 2.30 pm to 5.30 pm Monday to Thursday. Please note that communications with students, faculty and parents outside of campus hours may also be required. 

 

Essential Functions: 

  • Being present each day the Athletics program is in session, including practices and games while also managing any tasks needed before and/or after an event.
  • Securing qualified and experienced coaches for each season (Fall, Winter, Spring)  and sport (Co-Ed Soccer, Girls Volleyball, Cross-Country, Boys/Girls Basketball, Co-Ed Softball, Track & Field, Boys Volleyball)
  • Providing coverage as needed when a coach is unavailable to fulfill their responsibilities
  • Coordinating with neighboring schools and league (AIPSL) opponents to schedule games and their associated locations
  • Securing officials for each game across all offered sports
  • Ordering and managing equipment and apparel across all sports in compliance with the school’s budgetary requirements
  • Effectively communicating with administrators, staff, families, and student-athletes regarding programmatic logistics such as practice/game schedules, policies and procedures, code of conduct, safety considerations, etc.
  • Creating weekly correspondence to keep all involved parties abreast of upcoming events and reminders associated with the program and be responsive to questions for all involved parties.
  • Collaborating with the Business Office and Communications and Technology Departments to effectively disseminate information to the required parties through the school’s internal operating system
  • Overseeing the Athletics student-athlete registration process within the school’s internal operating system
  • Attending Athletic and league meetings throughout the school year
  • Attend and represent Gaynor at games when available; provide coverage as necessary to fill vacancies/absences
  • Writing a season recap for each sport/season to be included in distributed school publications and correspondence
  • Managing student-athlete behavior in correlation with school policy and the Athletics Department Code of Conduct
  • Approving and managing coaching timesheets for compensation purposes in conjunction with the Payroll Department
  • Manage Athletic Study Halls, including organizing teachers, rooms and groups; taking attendance and providing snacks for the student-athletes; approving timesheets for teachers and managing student behavior
  • Order buses for games using the school’s Purchase Order process
  • Contact referee assignor and other Athletic staff to schedule games
  • Assist with logistics in real-time when unplanned situations arise, e.g. emailing faculty and contacting parents
  • Willing to commit to anti-bias and anti-racism work and to promoting inclusion, belonging and equity through their work in the classroom and school community.

  • Other duties and responsibilities as deemed appropriate.

Qualifications


Qualifications & Skills:

  • Bachelor’s degree required (Physical Education K-12 preferred)
  • Strong communication and organizational skills (both written and verbal)
  • Experience working with children with learning differences preferred
  • 2 or more years experience in an administrative support role or related experience with a thorough understanding of the athletic facilities and program
  • Strong communication and organizational skills (both written and verbal)
  • Sets a respectful, collaborative, and positive tone, and recognizes our responsibility to create a diverse and inclusive environment that supports and celebrates each individual in our school community
  • Proficient in Google Workspace (Drive, Docs & Sheets) and Microsoft Office
  • Experience with coaching middle school sports teams
  • CPR/AED certification required
  • Concussion Certificate preferred
