Job Summary
Stephen W Gooch PC is a law firm focused on real estate, estate planning, and business law. We have offices in Grundy, VA, Pounding Mill, VA, and Bristol, TN. We are currently in need of a front desk receptionist for our Pounding Mill office; however, we are ultimately seeking a real estate assistant to join our team. Our hopes are that, if we hire you as a receptionist, we will give you the training and experience to be able to promote you to real estate assistant. If you have the requisite skills and experience, we would love to hire you as a real estate assistant from the start. Either way, we are seeking a motivated, detail-oriented team member who wants to learn new skills and to grow with our team in a fast-paced, exciting environment.
Responsibilities
Receptionist
- Open and close the office, including preparing the conference room for clients each day.
- Greet clients at the front window and escort them to the conference room.
- Answer phone calls and take messages.
- Schedule appointments and update calendars.
- Make appointment reminder calls and other phone calls as requested.
- Prepare mail and packages to be sent.
- Take payments and write receipts.
- Assist with data collection and entry.
- Perform conflict of interest checks for new clients.
- Handle clerical tasks such as filing, scanning, and organizing paperwork to maintain an orderly office environment.
- Manage our inventory of office supplies.
- Run errands and make deliveries, such as dropping off mail or making bank deposits.
Real Estate Assistant
- Set up files in our online system.
- Make phone calls to clients and other parties to collect information.
- Use various online systems to collect and input real estate information.
- Generate forms and draft basic deeds and estate planning documents.
- Become a notary public in Virginia and notarize documents.
Experience
- High school diploma or equivalent; associate degree or bachelor's degree preferred.
- Previous experience in an office environment is preferred; experience in a law firm or in real estate or lending is a plus.
- Strong organizational skills with the ability to manage multiple tasks simultaneously.
- Proficiency in data entry and familiarity with Microsoft Office software applications.
- Excellent proofreading skills with attention to detail in written communication.
- Experience in clerical duties such as filing and document management is beneficial.
- Experience working with the public is beneficial.
