Job Summary
We are seeking a detail-oriented and proactive Receptionist/ Legal Assistant to join our dynamic legal team. The ideal candidate will provide essential support to the attorney by managing case files, conducting legal research, and assisting with various administrative tasks. This role is crucial in ensuring the efficient operation of our legal practice and requires a strong understanding of legal terminology and procedures.
Responsibilities
- Perform clerical duties such as filing, data entry, and maintaining accurate records. .
- Assist in drafting/witnessing contracts and other legal documents as needed.
- Maintain and organize office files, both digital and physical, ensuring easy access to important documents.
- Manage incoming calls, directing them to the appropriate personnel while maintaining professional phone etiquette.
- Schedule appointments, hearings and trials/manage calendar for attorney, optimizing time management effectively.
- Utilize Microsoft Products- (Outlook, Excel, Word) and Google Calendar for document creation, data entry, and communication purposes.
- Ensure compliance with legal procedures and maintain confidentiality of sensitive information.
Skills
- Proficiency in document management systems (Microsoft Products preferred).
- Strong executive administrative support skills, with an emphasis on organization and time management.
- Excellent clerical skills, including attention to detail in data entry tasks.
- Experience as a paralegal/ Receptionist or in a similar role is desirable.
- Strong interpersonal skills for effective communication.
- Ability to work independently as well as collaboratively within a team environment.
Qualifications
- Proven experience as Legal Assistant/Receptionist (preferred).
- Familiarity with law, legal procedures and protocols, and court system.
- Satisfactory knowledge of day-to-day operations of a legal office.
- Ability to juggle multiple activities and work under pressure.
- Proficiency in Microsoft Products- (Outlook, Excel, Word) and Google Calendar is required.
- Strong organizational skills with the ability to prioritize tasks efficiently.
- Excellent phone etiquette and interpersonal skills for effective communication with clients and colleagues.
- Time management skills that allow for efficient handling of multiple responsibilities simultaneously.
- Familiarity with office management practices and procedures is a plus.
- Ability to operate standard office equipment including phone systems and computers.
