Position Summary
This position assists with treatment program in daily functions around scheduling, phone calls and client care and assists with Intakes as needed. This position is responsible for ordering and distribute supplies and creating a welcoming atmosphere to all visitors and clients
Relationships and Contacts
Within the organization: Establish and maintain productive working relationships with peers and accounting team members throughout Cedar Creek and affiliated facilities.
Outside the organization: Establish and maintain productive working relationships with third party vendors, as necessary.
Position Responsibilities
Essential Responsibilities
- Working 40 plus hours a week
- Answer and direct phone calls
- Signing in all guests to the facility
- Assist in documentation of client services
- Assist in client needs and requests
- Support family visit protocol by collecting requests and calling family members to confirm visits, dates, times and rules
- Assist in Care Management when appropriate
- Manage mail by organizing and distributing bills, insurance correspondence, payments, etc as appropriate
- Manage Reception area and greet referral sources, clients and families.
- Assisting with new intakes and discharges
- Manage Cedar Creek inventory by counting and sending inventory count to Director of Quality Assurance
- Completing, printing, and distributing daily schedule
- Sending weekly discharge email to Business Development, Admissions and Executive Director
- Updating all relevant staff on daily URs
- All other tasks as assigned
- Collect RX and financial information during client intakes.
- Collect payment during time of admission. Work with UR and Billing team to coordinate payment and payment plans while a person is in services.
- Conduct follow up phone calls with discharged/alumni clients.
Minimum Requirements
Education and Experience
- This position requires a Minimum of a high school Diploma and2 Years experience in the human services or customer service field. This position also requires Knowledge and experience with basic Microsoft software packages. Should have excellent organization and communication skills as well as
knowledge and experience with basic Microsoft software packages and PHI Access: Administrative Assistant.
Physical Requirements
- While performing the duties of this job, the employee will be required to communicate with peers/general public, clients and/or vendors
- Tolerant to various noise levels: noise level in the work environment varies may be very quiet to moderate
- Job performance will require the ability to move throughout the building as well as sit or remain stationary for extended periods of time
- While performing the duties of this job, the employee may be required to talk or hear, sit, stand, walk, reach, climb or balance, stoop, kneel, crouch
