The Executive Meeting Manager will handle small group leads from all markets / regions from the initial sales call to servicing the group. This will include negotiating the room rate & meeting requirements, preparing the contract, managing inventory, creating the BEOs and resumes. Creates win / win decisions for our customers by developing relationships and ensuring client satisfaction

Executive Meeting Manager Major Duties & Responsibilities :
- Proactively participates in the comprehensive sales and marketing efforts
- Handles phone inquiries for new accounts for group room requests with or without meeting space with 20 rooms or less per night and catering groups.
- Prospects new sleeping room business.
- Attends all mandatory meetings and training classes
- Participates in BEO weekly meetings
- Participates in weekly group pick up meetings
- Participate in site visits for potential room bookings.
- Participates in sales related events, receptions, trips, trade shows, client meetings and related events and networking functions.
- Negotiates when necessary, during need periods; receives approval from a Director of Sales
- Merges and issues standard contracts; receives approval on any exceptions to standard
- Traces and follow-up for signed contracts being mindful of effect on hotel’s inventory
- Encourages prepayment and collects deposits
- Follows up on rooming list and deposit deadlines as outlined in contract
- Works closely with Banquets, Kitchen, Front Office, Accounting and Audio Visual Departments to insure guest requirements are met
- Prepares Group Resume and communicates at weekly staff meeting
- Conducts preconvention meetings with the client and hotel staff as needed
- Insures attrition, food and beverage minimums and meeting room rental charges are met
- Assists client with menu selections for each event
- Upsells and upcharges other services (i.e. transportation, flowers, music, etc)
- Identifies group VIPs – requests appropriate room upgrades and amenities
- Consistently follows up to ensure guest satisfaction that meet and exceed our service standards
- Develops and maintains relationships with key clients in order to produce repeat group and / or conference business, to include room sales, food & beverage sales, catering / banquet services, meeting room rental
- Ensures Banquet Event Orders are created for each function
