POSITION SUMMARY:
The Billing Supervisor leads a team of billing coordinators and provides guidance and support by serving as a resource, mentor, and a point of escalation. This role serves as technical billing specialist, participates in process improvement efforts and will serve as the billing specialist for an appropriate number of billing attorneys.
PRIMARY DUTIES AND RESPONSIBILITIES:
1. Monitor status of invoices, ensure billing coordinators process invoices in a timely manner.
2. Prepare and provide billing status update to the Manager of Billing and Collections on a weekly basis, indicating total billed, amounts held, outstanding invoices, and reasons for large write-downs of fees.
3. Notify billing attorneys of any outstanding proformas not invoiced by month-end.
4. Ensure appropriate approval is obtained on all write-down requests over the approval thresholds.
5. Responsible for developing, cross-training, and supervising billing coordinators to maximize performance while ensuring efficient and cost-effective allocation of work assignments and workflow. Approve time-off requests and coordinate schedules as necessary for work coverage. Serve as back-up coverage as needed.
6. Responsible for understanding attorney billing arrangements and related rates and ensuring invoices are processed with a high degree of accuracy.
7. Serves as technical specialist who develops and applies advanced concepts and approaches to more challenging assignments.
8. Partners with the Manager of Billing and Collections and Finance leadership to identify opportunities for process efficiencies and training.
9. Serves as a resource for questions and issue escalations.
10. Approve client refunds and write-down requests.
11. Investigate unallocated payment amounts and take appropriate action to resolve.
12. Ensure billing system changes are tested to ensure functionality works as intended.
13. Ensures billing coordinators maintain the appropriate number of attorney assignments.
KNOWLEDGE, SKILLS AND ABILITIES REQUIRED:
EDUCATION: Bachelor’s or associate’s degree preferred.
WORK EXPERIENCE: A minimum of three years of billing experience is required. Intermediate knowledge of Microsoft Office software applications; including, Word, Excel, and Outlook are required. Good communication skills, both written and oral; ability to work independently.
PREFERRED:
Two years of supervisory billing experience in a law firm is preferred.
Working knowledge of Elite accounting system is preferable.
While the role will be predominantly a remote position, residing in close proximity to one of our offices is required.
