POSITION SUMMARY:

The Marketing and Events Assistant is responsible for planning, coordinating, and executing a variety of client events and marketing initiatives. They will provide event support during all stages of the event process for firm sponsored and hosted events and conferences. The Marketing and Events Assistant will also assist in regional and office specific marketing campaigns and initiatives to increase the firm’s visibility and brand recognition. The position is expected to demonstrate attention to detail, sound judgement, time management, and resourcefulness.

WORKING RELATIONSHIPS:

REPORTS TO: Reports to the Marketing Director and works closely with the Events/Special Projects Administrator and members of the Marketing and Business Development teams as a member of the Marketing Department. The Events/Special Projects Administrator will frequently provide guidance, direction, and assign projects to the Marketing and Events Assistant.

SUPERVISES: No supervisory responsibilities.

PRIMARY DUTIES AND RESPONSIBILITIES:

· Organizes and facilitates client programs including sponsored and hosted conferences, educational events, receptions, dinners, and special events to provide guests with a positive experience.

· Utilizes the firm’s email management system to upload and maintain event contact records and to draft invitations and registration forms for distribution.

· Helps to create invitation lists with attorneys and staff and works closely with event stakeholders in event preparation efforts.

· Collects registrations and serves as point of contact for questions both internally and externally on events they are involved with. Distributes registration information on a weekly basis and as requested.

· Maintains and tracks event details, registrations, and costs. Helps track other performance metrics as needed.

· Ensures contacts are added to the email marketing database to receive further firm communications.

· Helps add events (hosted and sponsored) to the firm’s website.

· Research venues and obtains details regarding costs, space, event policies, and other details as needed.

· Coordinates arrangements with venues for event planning purposes, including all logistics, maintaining vendor relationships, and tracking costs for budget purposes.

· Provides recommendations on menu and beverage selections.

· Works with event stakeholders to create program agenda and helps coordinate applications for CLE, SHRM, or other continuing education credits as needed.

· Handles and responds to any issues that come up prior and during events.

· Works with other departments and outside vendors to coordinate event details.

· Additional duties as required.

KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:

EDUCATION: Undergraduate degree (Marketing or Business degree is preferred).

WORK EXPERIENCE: 1-3 years’ experience in an events role. Experience in a law firm or professional services firm preferred.

Requirements:

· Strong understanding of event planning and implementation, communications, execution of excellent customer service principles.

· Demonstrate sound judgment, prioritization, critical thinking skills, strong attention to detail, and have a sense of responsibility and accountability on tasks and projects.

· Ability to work under pressure, handle confidential information with discretion, and prioritize competing demands.

· Responsive and deadline-driven with requests and projects.

· High-level ability to be proactive, work independently, self-identify tasks to take on, and use judgement in their work and understand when to escalate questions and issues.

· Must be highly proficient in Microsoft Office Suite (including Word, PowerPoint and Excel).

· Previous experience with event management, project management, and email management software.

· Working knowledge of the Adobe Creative Suite, particularly InDesign.

· Strong interpersonal and communication skills needed to successfully interface with a variety of individuals.

WORKING CONDITIONS:

Manual dexterity used in operating standard office equipment. Prolonged periods of sitting. May be required to walk to various areas throughout the department or complex. This may require use of elevators and/or stairs. May be required to lift up to 25 pounds on occasion.

Indoor office environment with extended periods of time working on a PC. Position may require limited travel overnight and/or work after hours and/or on weekends. Must possess valid driver’s license. On occasion must be able to work more than 37.5 hours per week.

JOB STATUS:

Full-time, 37.5 hours per week, non-exempt position.

Location: Position may be resident in one of Steptoe & Johnson’s West Virginia (Bridgeport, Charleston, Huntington, Martinsburg, Morgantown, Wheeling), Ohio (Columbus), Pennsylvania (Meadville, Southpointe), Kentucky (Louisville, Lexington), or Texas (The Woodlands, Dallas, Collin County, San Antonio) offices, with a preference for residence in Bridgeport, Morgantown, Wheeling, or Southpointe.

Pay: $42,900.00 - $64,285.00 per year
