Commercial Property Manager Job Description
Sterling Commercial Management Group (SterlingCMG) is seeking a highly skilled and motivated Commercial Property Manager to oversee a portfolio of commercial properties in Missoula, Montana. This role requires a blend of technical expertise, strong interpersonal skills, and the ability to manage multiple responsibilities efficiently. You will work closely with internal teams and external vendors to ensure the successful operation of properties, with a focus on maximizing asset value, maintaining tenant satisfaction, and ensuring financial and operational performance.
The position includes both office-based tasks and on-site property management, requiring occasional travel for site visits and meetings.
Key Responsibilities
- Operational Management: Oversee daily operations of the property portfolio, implementing action plans to meet or exceed management objectives and maximize property value.
- Team Collaboration: Work effectively with cross-functional teams including maintenance, leasing, accounting, and construction departments.
- Tenant Relations: Build and maintain positive tenant relationships by addressing inquiries, managing work orders, and ensuring clear communication of expectations. Able to effectively resolve issues and provide consistent follow-up.
- Financial Management: Manage expenses against budget forecasts to ensure cost control and operational efficiency. Oversee accounts receivable, ensuring timely rent collections and addressing delinquencies.
- Leasing and Lease Administration: Coordinate tenant lease renewals and ensure compliance with lease agreements. Maintain detailed knowledge of lease terms and resolve issues as they arise.
- Vendor and Contract Management: Manage vendor relationships, ensuring service level expectations are met and reviewing contracts for competitiveness.
- Risk Management: Identify and address potential risks related to safety, liability, and legal concerns, and implement preventative measures.
- Project Management: Manage capital improvement projects, including renovations and major repairs, from inception through completion.
- Budgeting and Financial Reporting: Prepare and oversee the development of operating budgets, expense estimates, and reconciliations for each property. Provide variance analysis and financial reporting to management.
- Compliance and Safety: Ensure all properties meet life safety standards and regulations, including developing and implementing safety and evacuation procedures.
Skills & Qualifications
- Commercial Property Management Experience: Minimum three years of experience managing commercial properties, with a strong understanding of both day-to-day operations and long-term strategic planning.
- Project Management: Excellent project management skills, with the ability to juggle multiple projects and competing priorities effectively.
- Analytical Skills: Strong financial acumen with the ability to prepare and analyze budgets, expense reconciliations, and financial reports.
- Communication: Exceptional verbal and written communication skills with the ability to present complex information clearly. Strong interpersonal skills, with a proven record of providing superior customer service to both internal teams and external clients.
- Attention to Detail: High level of accuracy and attention to detail in all aspects of property management, including financials, contract administration, and operational tasks.
- Time Management: Ability to prioritize and efficiently manage time, ensuring tasks and projects are completed on time and to a high standard.
- Technical Proficiency: Strong proficiency in Google Workspace, Outlook, Word, and Excel. Experience with property management software is a plus.
Eligibility Requirements
- Valid Real Estate or Property Manager or MT Salesperson license or the ability to obtain one within 90 days of employment
- Must be able to pass a background screening
- Must have unrestricted work authorization to work in the United States
- Must have a valid driver’s license
Work Location: Sterling's Missoula office with some day travel required based on operational demands.
