Job Description: Business Office Manager (Skilled Nursing Facility)

Position Summary: The Business Office Manager (BOM) is responsible for overseeing and managing the day-to-day operations of the business office in a skilled nursing facility. This role involves a variety of administrative duties including overseeing revenue collection, managing insurance authorizations, uploading and maintaining medical records, and handling all aspects of insurance for residents. The Business Office Manager works closely with the facility’s leadership team to ensure smooth financial operations and compliance with state and federal regulations.

Key Responsibilities:

  • Revenue Collection:
  • Oversee all billing and revenue collection processes, ensuring timely and accurate invoicing for services provided to residents.
  • Monitor outstanding accounts receivable and follow up with residents, families, and third-party payers to resolve payment issues.
  • Coordinate with the facility’s billing team to ensure all charges are correctly entered and processed in accordance with facility policies.
  • Insurance Authorization:
  • Handle the insurance verification and authorization process for all residents.
  • Ensure that insurance authorizations are obtained in a timely manner and accurately reflect the services provided to the residents.
  • Liaise with insurance companies, residents, and families to resolve any issues regarding coverage, pre-certifications, and authorizations.
  • Medical Records Upload & Management:
  • Ensure that all medical records are properly maintained and securely uploaded into the electronic health record (EHR) system.
  • Assist with maintaining accurate and complete documentation, ensuring compliance with HIPAA regulations and facility policies.
  • Provide assistance to staff in accessing and retrieving medical records when needed.
  • Insurance Management:
  • Manage all aspects of insurance for residents, including Medicare, Medicaid, private insurance, and other payer sources.
  • Ensure timely and accurate processing of insurance claims and follow up on any denials or issues.
  • Track and maintain records of resident insurance coverage and ensure that all necessary documentation is in place for billing and reimbursement.
  • Administrative Support:
  • Support the facility’s administrative functions, including answering phone calls, responding to inquiries, and maintaining resident files.
  • Collaborate with other departments, such as admissions, nursing, and social services, to ensure seamless operations.
  • Assist with the preparation of reports and audits as required by management and regulatory agencies.
  • Compliance & Regulatory:
  • Ensure the facility adheres to all relevant federal, state, and local regulations regarding billing, insurance, and medical records management.
  • Stay up-to-date with changes in healthcare regulations, including insurance and billing practices, and ensure the facility’s practices comply.
  • Assist with internal audits to ensure proper billing and insurance practices are being followed.
  • Customer Service:
  • Take lead in answering incoming calls to the facility.
  • Provide excellent customer service to residents and their families regarding billing inquiries, insurance questions, and payment issues.
  • Address and resolve any billing or insurance-related concerns promptly and professionally.

Qualifications:

  • Education:
  • High School Diploma or equivalent required. Associate's or Bachelor’s degree in business administration, healthcare administration, or a related field preferred.
  • Experience:
  • Minimum of 2 years of experience in business office management, healthcare administration, or a similar role in a skilled nursing or healthcare facility.
  • Experience with insurance verification, authorization, and billing in a healthcare setting is highly preferred.
  • Knowledge of Medicare, Medicaid, and private insurance processes.
  • Skills:
  • Strong organizational and time-management skills.
  • Excellent attention to detail and accuracy in all aspects of the role.
  • Proficient in office software applications, including MS Office (Word, Excel, etc.).
  • Familiarity with Electronic Health Record (EHR) systems and billing software.
  • Knowledge of HIPAA regulations and healthcare compliance.

Working Conditions:

  • Full-time, Monday to Friday, with occasional weekends or after-hours as required.

Pay: $28.00 - $32.00 per hour
