The Legal Assistant is responsible for the maintenance and organization of files as well as other administrative duties.
Duties & Responsibilities:
- Perform general office duties, such as typing, answering telephones, and operating a variety of office machines.
- Scan materials and upload supporting documentation into case management system or other designated locations.
- Sort incoming records by identifying, indexing, and filing documents under their respective client and matter numbers.
- Provide administrative support to the legal team such as copying and faxing.
- Search for and investigate information contained in files, keep files current, and supply information from file data or remove files upon request.
- Assumes responsibility for maintaining the highest level of confidentiality of all firm records and files.
- Request and obtain fee approvals from clients and investors.
- Coordinate the filing of motions with internal departments the Courts.
- Enter data into firm and client's case management system.
- Performs other duties as assigned.
Qualifications
- High School Graduate or equivalent
- Minimum of 1-2 years in a busy office environment, prior law firm experience strongly preferred.
- Ability to multi-task in a fast-paced work environment
- Excellent communication skills; both written and verbal
- Possess strong computer skills: Microsoft Office Suite, as well as a general understanding of software systems to access and utilize firm’s case management and client systems.
- A team player who is focused on providing exemplary customer service.
- Dependable, punctual, and reliable
