Our Special Projects team is looking for an organized and proactive Special Projects Administrative Assistant to provide essential support that keeps our operations running smoothly. This role plays a vital part in ensuring project efficiency, seamless communication, and overall organization. From document preparation to assisting with field-related administrative tasks, this position helps our team focus on delivering successful construction projects.
Key responsibilities include formatting and preparing documents, supporting permitting and project closeout processes, and assisting with in-field administrative needs. To fulfill the essential duties of this position, team members must be able to meet certain physical demands. In this role, day-to-day activities include sitting at a desk for extended periods, engaging in fine motor skills, oral communication, reaching with hands and arms, walking and standing. RESPONSIBILITIES:
Administrative Duties
- Provide assistance to all clients, guests, owners and all office and field staff
- Answer the phone, transfer calls, and take messages.
- Stock office supplies and equipment i.e. printers, scanners, etc
- Organize and plan lunches for meetings as needed
- Stock water in refrigerator. Stock coffee/tea, creamer, plastic wear
- Keep the office clean during the week. Clean refrigerator once a month. Empty garbage cans, wipe down counters, etc. as needed
- Prepare information for NOC’s and NTO’s
- Schedule and attend project meetings, as required, and prepare and distribute meeting minutes
- Work with superintendents to process their two-week look-ahead schedules. Update master schedule weekly
- Confirm if a permit is needed. If so, confirm we have signed/sealed drawings
- If a permit is needed, once it is issued need to ensure plans are printed with the municipalities reviewed stamp, along with the permit card. Provide to Supervisor
- When applicable, ensure all subs are attached to permit
- Assist superintendents with inspections
- Prepare close outs
- Work with PM to verify what is needed, if spec book is not available
- Prepare SCI warranty letter
- Work with superintendents to obtain documents
- Work with subcontractors to obtain manufacture warranties/operation manuals/as-builts
- Permitting - Check permit open conditions and resolve any issues to ensure CO can be obtained without delays/issues
- Understands his/her contribution to achieving the five-year strategic plan and the annual plan
- Understands and operates under the company’s SOP’s at all times
- Other duties as assigned
- High school diploma or equivalent; additional education or certification in office administration is a plus
- Proven experience as an administrative assistant or in a similar support role
- Proficiency in Microsoft Office Suite and comfortable learning new tools and software quickly
- Strong written and verbal communication skills
- Excellent organizational and time management abilities
- Attention to detail and accuracy in all tasks
- Strong multitasking skills and the ability to prioritize effectively
- Professional demeanor and excellent interpersonal skills
- Problem-solving skills and the ability to adapt to changing situations
