Description
The School District of La Crosse is accepting applications from candidates for a 1.0 FTE Accounting Associate at the Hogan Administrative Center. This is a nonunion, hourly position. Projected start date: February 24, 2025.

Supervisor of Finance
POSITION CHARACTERISTICS:
Recruited by: Supervisor of Finance
Compensation: Set annually by the District.
ACCOUNTABILITY OBJECTIVES:
Using and understanding generally accepted accounting principles, promptly and accurately carry out the accounting cycle and required reporting for the school district to assure fiduciary and legal compliance with local, state, and federal laws and regulations.
ESSENTIAL FUNCTIONS:
1. Assist with the maintenance of a complete and systematic set of records of all financial transactions of the School District within Department of Public Instruction requirements, board policy, and administrative directives.
2. Record details of all financial transactions in appropriate journals and ledgers from sources such as requisitions, payroll records, invoices, receipts, etc.
3. Communicate effectively with staff and vendors both orally and in writing.
4. Prepare financial reports as needed.
POSITION RESPONSIBILITIES:
1. Assist the accounting team in carrying out the goals and objectives of the Business Office.
2. Assist with maintenance and management of requisition and purchase order systems.
3. Process weekly check and ACH payments and coordinate bank file transfers for payment processing.
4. Oversee cash receipts processing and reconciliations and prepare District receipts for weekly bank deposits.
5. Review and process overnight and out-of-state student travel requests ensuring compliance with District policies and guidelines.
6. Process staff professional development and mileage reimbursement requests and ensure compliance with District guidelines.
7. Monitor scholarship transactions and prepare monthly journal entries as needed.
8. Review and approve p-card transactions while ensuring compliance with District guidelines.
9. Assist the Accounting Specialist with monthly bank reconciliations.
10. Prepare 1099 statements, distribute to vendors and file with state and federal agencies.
11. Prepare annual sales tax filings with the Department of Revenue.
12. Coordinate unclaimed property submissions with the Wisconsin Department of Revenue.
13. Manage accounts receivable for District invoices and prepare adjusting journal entries as needed.
14. Prepare reports for the annual worker’s compensation audit.
15. Prepare the annual school nutrition report and assist with monthly reconciliations and processing of school nutrition refunds, rebates, and reports.
16. Run online fee management collection reports and prepare journal entries to allocate revenues monthly. Troubleshoot discrepancies as needed.
17. Respond to open records requests related to District financial data.
18. Coordinate the set up and staff training for the District p-card system.
19. Maintain appropriate financial correspondence with vendors, ensuring accurate documentation and recordkeeping of all district business transactions.
20. Maintain financial records in accordance with state and District records retention schedules.
21. Assist with the preparation of adjusting journal entries to the general ledger and assist with month-end and year-end closing of District financial records.
22. Assist the accounting team with the annual audits and DPI monitoring reviews.
23. Provide support to District staff regarding accounting software and procedures.
24. Participate in finance-related training and in-service sessions as needed.
25. Perform other duties as assigned by the Supervisor of Finance.

Qualifications
QUALIFICATIONS:
A. Associate or bachelor’s degree in accounting or related field, or equivalent prior accounting experience.
B. Strong computer skills including accounting software, Microsoft Office programs, and 10-key data entry.

I. Knowledge of and experience with Generally Accepted Accounting Principles (GAAP).
DESIRED QUALIFICATIONS:
A. Accounting experience with a large organization.
B. Familiarity with WUFAR (Wisconsin Uniform Financial Accounting Requirements) and Department of Public Instruction reporting requirements.
C. Competency with management information systems as they relate to accounting, financial management, and human resources databases.
D. Knowledge of and experience with Governmental Accounting Standards Board (GASB).
