SJCA is a preschool through high school institution offering an educational experience in the arts, languages, sciences, and technology. We are looking for an experienced, highly motivated professional to join our Finance department as a part-time Finance Assistant. The Finance Assistant will have an understanding of Generally Accepted Accounting Principles (GAAP), awareness of business trends, familiarity with financial accounting statements, and have experience with general ledger functions and the month-end/year-end close process. Must have hands-on experience with accounting software packages, such as QuickBooks, advanced MS Excel skills including Vlookups and pivot tables, accuracy and attention to detail are extremely important in this role.
This position will report to the Director of Finance.
Performs tasks as assigned by the Director of Finance and/or the President.
- Engages in proactive critical review of processes & procedures across the Academy; identifying issues, creating, testing, deploying, and monitoring corrective actions or enhancements.
- Must have the ability to perform in-depth analyses and problem solving using a variety of technological skills & tools; adapting to new situations where procedures or manuals may not be available.
- Ability to learn and quickly master new processes or workflows frequently without advanced direction; then, produce memoranda, guides, forms, or automations for use across the Academy, demonstrating cross-department understanding and cohesion.
- Responsibility for compiling and preparing various standard cyclical & ad-hoc reports, utilizing the accounting system, various sub-ledger systems, or online query and data extract.
- Continuously engaged in pre-audit activities, monitoring the key standards of accuracy & completeness and remediating any outstanding deficiencies, and assigned to key points within the internal control environment
- May be asked to assist the Director of Finance in various budget matters, including the preparation of budgetary statements and reports either to assist departmental management in determining budget needs or for submission to Academy leadership.
- Research, apply to, accept, monitor, and report upon applicable grant programs in accordance with the mission of the Academy and as directed or in collaboration with Academy leadership.
- Assists the department with the school purchasing process by establishing clear systems for staff to request items, placing orders with vendors, tracking delivery, and coding and submitting purchases orders, invoices, and reimbursement requests; approves school purchases under a specific financial threshold; conducts bidding procedures, when necessary, in compliance with school district policy and state law.
Bachelor’s Degree, preferably in Accounting, Finance, or related field
Relevant certification (e.g. CMA or CPA)
Minimum of 5 years experience in financial accounting.
Experience assisting with operating budgets (preferred).
