Job Summary
We are seeking a highly organized and proactive Office Manager to join our veterinary clinic team. In this pivotal role, you will be responsible for overseeing the day-to-day administrative operations of the clinic, ensuring a smooth and efficient workflow for both staff and clients. You will work closely with the Lead Technician and Clinic Administrator to coordinate schedules, support team operations, maintain inventory, and deliver an exceptional client experience.
As the Office Manager, you will be the go-to person for front office operations, client communications, and staff support, helping to bridge the clinical and administrative sides of the practice. Your leadership, attention to detail, and ability to manage multiple priorities will directly contribute to the clinic’s success and the high standard of care we provide to our patients and their owners.
Responsibilities
- Manage front desk operations, including greeting visitors and handling inquiries in a professional manner.
- Oversee clerical tasks such as filing, data entry, and document management to ensure accurate record-keeping.
- Coordinate office activities and events to foster a positive work environment.
- Provide exceptional customer support by addressing client needs and resolving issues promptly.
- Maintain office supplies inventory and place orders as necessary to ensure uninterrupted operations.
- Implement organizational systems for improved workflow and efficiency within the office.
- Assist in preparing reports and other documentation as required by management.
- Collaborate with team members to streamline administrative processes and enhance productivity throughout the clinic.
Candidate Requirements
Education & Experience:
- Associate’s or Bachelor’s degree in Business Administration, Healthcare Management, or related field preferred.
- Minimum 2–3 years of office management or administrative experience, ideally in a veterinary, medical, or healthcare setting.
- Prior experience supervising staff or leading teams is required.
Skills & Qualifications:
- Strong organizational and multitasking skills with excellent attention to detail.
- Proficient in using office software (e.g., Microsoft Office Suite, Google Workspace) and practice management systems (e.g., ezyVet, AVImark, Cornerstone, etc.).
- Excellent written and verbal communication skills.
- Customer service oriented with a friendly and professional demeanor.
- Ability to manage inventory, supplies, and vendor relationships.
- Familiarity with basic HR functions (scheduling, onboarding, timekeeping, etc.).
- Financial literacy, including handling invoices, client billing, and budget tracking.
- Knowledge of veterinary terminology and procedures is a plus.
