Performs receptionist duties, which may include greeting and directing visitors, answering incoming calls, distributing mail, and scheduling meetings and interviews. This is a full-time position that requires a professional demeanor with interpersonal communication skills, and the ability to maintain strict confidentiality is necessary. At Stiiizy, we value the versatility and adaptability of our employees. While the primary focus of this role is Receptionist, the successful candidate may also cross-train in other positions within the department based on organizational needs.


Key Responsibilities:

  • Greets and registers visitors in a polite and friendly manner, informs employees of the visitor's arrival, and directs visitors to appropriate location in the facility.
  • Logs all visitor and vendor visits according to compliance standards. 
  • Answers and directs questions appointments or relays messages. 
  • Schedules meetings and arranges conference rooms or makes other logistical arrangements as required. 
  • Performs clerical duties, such as data entry, filing, and/or photocopying, or special projects.
  • Sorts and distributes incoming mail and prepares outgoing mail and packages as requested.
  • Completes daily logs processing and mailing. 
  • Enters production numbers daily.  
  • Scans documents and files electronically using specified naming convention. 
  • Receives and puts away deliveries. 
  • Monitors, organizes, and maintains office supply inventory. Coordinates restock as needed. 
  • Maintains the cleanliness of reception and all public areas (conference room, lobby, and break room).
  • Tracks temporary hours and give general orientation at point of entry. 
  • Issues, maintains and logs employee lockers and parking. 
  • Provides prompt, courteous, and efficient service.
  • Provide administrative assistance to teams.
  • Assist Executives and Managers with any planning or projects.
  • Updates and maintains office policies and procedures.
  • Maintains contact lists.
  • Assists management team in identifying areas that need administrative help, i.e. streamlining, training, staff appreciation, and staff development.
  • Ensures best practices are shared appropriately with all teams.
  • Perform other duties as needed in support of business objectives assigned by manager.

Education & Experience:

  • High School graduate or equivalent. 
  • Minimum of one-year clerical experience required. 
  • 1-2 years of experience in an Office Administration or reception-type role preferred.
  • Knowledge of office management systems and procedures.
  • Working knowledge of office equipment, like printers and copy machines.
  • Proficiency in Google Suite, Microsoft Word, and Excel strongly preferred. 


Requirements:

  • Must be over 21 years of age.
  • Willingness and ability to undergo cross-training in various roles within the department as required.
  • Prolonged periods of standing, sitting at a desk, and/or working on a computer.
  • Be able to stand, bend, kneel, squat, and twist for prolonged periods of time. 
  • Must be able to push, pull, move, and/or lift 15 lbs. to a minimum height of 5 feet and able to push, pull, move, and/or carry such weight a minimum distance of 50 feet, with or without mechanical assistance.
  • Must be able to access and navigate each department at the organization's facilities.
  • Must be able to stand, sit for prolonged periods of time, bend, kneel, squat, and twist.
  • Must be able to complete repeated twisting, grasping, reaching, turning, stooping, and lifting activities throughout shift and for prolonged periods of time.
