Role Description
We are seeking a highly organized, proactive, and resourceful Executive Assistant to provide direct support to the Chief Executive Officer. This role requires exceptional communication skills, discretion, and the ability to manage multiple priorities in a fast-paced environment. The ideal candidate will be a trusted partner who ensures the CEO’s time is optimized, operations run smoothly, and strategic initiatives are well-supported.
Key Responsibilities
- Serve as a primary point of contact and gatekeeper for the CEO, managing communications, schedules, and priorities.
- Manage complex calendars, including scheduling internal and external meetings, travel, and personal appointments.
- Prepare briefing materials, reports, and presentations for meetings, both internal and external.
- Coordinate travel arrangements, itineraries, and logistics with precision and attention to detail.
- Take and distribute accurate meeting minutes; follow up on action items.
- Assist with confidential matters and exercise a high degree of discretion.
- Anticipate the CEO’s needs and proactively address issues before they arise.
- Liaise with department leaders, board members, external partners, and stakeholders on behalf of the CEO.
- Support strategic projects and initiatives as directed.
- Assist with event planning, both corporate and team-based.
Qualifications
- Bachelor’s degree preferred; equivalent work experience will be considered.
- 5 years of experience as an Executive Assistant or in a similar high-level administrative role.
- Demonstrated ability to handle confidential information with integrity and professionalism.
- Exceptional organizational and time-management skills.
- Proficiency in Microsoft Office Suite and comfort with modern workplace tools (e.g., Teams, Zoom, Slack, project management platforms).
- Excellent verbal and written communication skills.
- Adaptable, self-motivated, and able to work both independently and collaboratively.
