Position Summary:
We are seeking a detail-oriented, proactive, and highly organized Property Management Administrative Assistant to support our property management team and executive leadership. This individual will assist in key administrative functions such as delinquency tracking, eviction processing, lease renewal coordination, vendor sourcing, and general operational support. The ideal candidate is resourceful, professional, and committed to helping ensure the smooth operation of multiple residential communities.
Key Responsibilities:
Delinquency Management:
- Collect and track resident delinquencies on a daily and weekly basis.
- Communicate with residents regarding late payments and payment arrangements.
- Coordinate with property managers and legal teams for eviction filings.
- Maintain updated records of delinquency status and outcomes.
Lease Renewals & Follow-Up:
- Prepare and send renewal notices to residents in a timely manner.
- Track responses and maintain follow-up to ensure completion of renewal documents.
- Coordinate with onsite teams to address resident concerns related to renewals.
Evictions & Legal Processing:
- File eviction paperwork in coordination with legal teams and management.
- Monitor court schedules, communicate deadlines, and track case progress.
- Ensure compliance with state and local housing laws and regulations.
Vendor Management:
- Source and evaluate new vendors for property services (repairs, landscaping, cleaning, etc.).
- Ensure all vendors meet insurance and compliance requirements.
- Coordinate with vendors and site teams for scheduling and quality assurance.
Administrative & Executive Support:
- Provide general administrative support to the executive team, including calendar management, correspondence, and meeting preparation.
- Assist with property-level reporting, document organization, and data entry.
- Help with day-to-day tasks and follow-ups to ensure timely completion of initiatives.
Qualifications:
- Prior experience in property management or administrative support preferred.
- Strong organizational and time management skills.
- Excellent verbal and written communication.
- Proficient in Microsoft Office Suite (Excel, Word, Outlook).
- Ability to manage multiple priorities and maintain attention to detail.
- Comfortable working independently and as part of a team.
Preferred Skills:
- Knowledge of property management software (e.g., Yardi, AppFolio, ResMan).
- Familiarity with housing laws and eviction procedures.
- Experience managing vendor contracts or working with external service providers.
