Job Summary: Create and maintain a positive and welcoming office environment. Greets, assists visitors, reception and phones and office admin tasks related to office operation. Work on attendance issues from office. Good customer service is essential.
Office Administration
· Greet and assist visitors, answers inquiries, provides information and directs to appropriate school staff/areas. Sets up and uses Raptor system passes with all visitors.
· Use of appropriate software applications and becomes fluent in school software.
· Use Infinite Campus (IC) , email, text etc. to communicate information to staff, students, and their families on a regular basis for a range of notifications.
· Coordinate all school mailings, personnel handbook, set up new employees with supplies & mailboxes etc., organize teacher supplies, first aid kits.
· Assist with back to school open house, maintain front hallway bulletin board, disperse mail daily and complete other admin tasks as needed.
· Receive parent call phones and make sure complaints are handled and/or share information with appropriate parties ensuring problem resolution.
· Assist with maintaining office records and student files and all office filing.
· Ensure back office is orderly, supplies/paper ordered and paper loaded daily in copiers. Notify Office Coordinator when supplies are low and need re-order.
· Assist with enrollment process and student record file system.
· Daily tracking/monthly report of pick up calls on walkie.
· During summer work on upgrading library.
Attendance
· Daily attendance calls made daily by 10:30 for students who are absent with no parent notification. If parent calls back add reason to IC.
· Ensure daily attendance is taken by each classroom teacher in a timely manner.
· Ensure tardy students are entered into IC and given passes to classrooms.
· Monitor student attendance to note how many days out or if there are issues with tardies and extensive absences notify social worker as needed.
· Send out attendance letters to parents with UE student absent at 3 days and give copy to social worker.
· Follow up in IC to determine if additional letters need to be sent or social notification needs to be made.
_ Office translation/interpretation responsibilities_
· Assists teachers and staff with interpretation in meetings, parent phone calls, Special Ed meetings and other situations as they arise.
· Conducts tours to assist the enrollment specialist, in both English and Spanish.
· Translates written mailers, letters, and any other documents as necessary.

Qualifications:
· Bachelor’s Degree desired, not required.
· Spanish fluency (required) in both conversational and written Spanish.
· Experienced in computer technology and standard office equipment.
· Ability to complete reports and paperwork in a timely and accurate manner.
· Ability to take initiative, prioritize, organize and multi-task.
· Excellent customer service and communication skills.
· Ability to maintain confidentiality of students and staff.
· Ability to establish and maintain cooperative working relationships with business professionals and co-workers.
Job Type: Part-time
Pay: $18.00 - $22.00 per hour
