Operations Assistant
Stonehouse Process Safety is a process safety management firm specializing in consulting, testing, and training. Headquartered in Lawrenceville, NJ, Stonehouse works with diverse clients across a variety of industries (chemical, pharmaceuticals, agriculture/food, engineering, technology, construction, wood) to deliver services such as Dust Hazard Analysis, combustible dust testing, explosion prevention and protection, and electrostatics testing.
The Stonehouse team is seeking an Operations Assistant to join our growing team and support the daily operations of managers and employees. The Operations Assistant reports directly to the Operations Manager and works closely with the Stonehouse team and its clients to ensure the efficiency of projects and productivity of employees. This role is equal parts operations and administrative, so we’re looking for candidates who are collaborative, organized, strategic, and detail oriented. The needs of the business change daily, so this is an exciting position with a lot of variety and room for growth.
This is an in-office position, requiring prospective team members to be on-site in our Lawrenceville, NJ location 5 days per week.
Responsibilities
- Provide excellent customer service to Stonehouse clients via email, phone, and in-person events. Serve as a liaison between internal teams and clients to ensure client needs are met and projects are completed in a timely fashion.
- In partnership with our consulting and laboratory teams, coordinate administrative and operational aspects of projects, including preparing and sending proposals, following up with prospective clients, formatting/finalizing reports, and maintaining filing system.
- Serve as the point person for organizational communications, including responding to inbound inquiries, writing and distributing relevant emails, managing contact lists/databases, etc.
- Manage schedules for executive team, including planning travel, coordinating events, and facilitating group meetings.
- Provide a wide range of administrative support for the office, including answering phone calls, distributing packages and opening mail, greeting visitors, and ordering office supplies.
- Act as a resource for team members as it relates to operations, client management, office policy/procedure, and scheduling.
Requirements and skills
- Proven experience as an Administrative Assistant or Operations Assistant
- Proficiency in MS Office (MS Word and MS PowerPoint, in particular, MS Excel helpful); knowledge of Dropbox is a plus
- Excellent verbal and written communication skills
- Exceptional customer service skills
- Ability to work independently and self-direct in an agile office environment
- Strong organizational skills with the ability to multi-task
- Excellent time management skills and the ability to prioritize work
- Attention to detail and problem-solving skills
- High School diploma required; additional qualification as an Administrative assistant or Secretary a plus
Salary: $60,000 annual bonus Employer-Covered Benefits (100% covered)
