Required Qualifications (as Evidenced By An Attached Resume)

Bachelor’s degree (foreign equivalent or higher). Two (2) years of full time administrative or related higher education experience (student experience may be considered). Experience working with a diverse population of faculty, staff and community organizations.

Preferred Qualifications

Experience working in a higher education institution. Experience responding to emergencies and/or making appropriate referrals for other urgent situations. Project management experience. Experience with procurement and purchasing systems/software. Experience with event or outreach planning. Experience utilizing Microsoft/Google Suite Applications, including the ability to write and run queries, create electronic forms, and manage data.

Brief Description Of Duties

Reporting to the Assistant Director, the Intake and Registration Specialist will be responsible for assisting students with the registration process within the Student Accessibility Support Center. The incumbent will need to be detail oriented with strong attention to detail. This role directly interacts with students, faculty and staff and the ideal candidate will have strong customer service and communication skills. They will work with confidential, highly sensitive information.

The incumbent plays a crucial role as a team member within Student Health, Wellness & Prevention Services. In this capacity, they collaborate with other team members to collectively contribute to the overall functioning and effectiveness of the services provided. This involves actively participating in team meetings, sharing insights, and engaging in collaborative decision-making processes. The incumbent's role extends to fostering a cooperative and supportive atmosphere, ensuring seamless teamwork, and collectively working towards the common goals and objectives of Student Health, Wellness & Prevention Services.

Intake And Registration

  • Guides prospective, new, and currently enrolled students through the Student Accessibility Support Center’s intake and registration processes and engages in ongoing communication with students regarding policies and procedures for requesting accommodations; escalates concerns related to barriers in securing required disability documentation.
  • Thoroughly documents interactions with students in the data management system and uploads all disability documentation and intake related documents to the database system.

Administration

  • Answer phones and email queries.
  • Schedule appointments for students with counselors.
  • Triage student cases, prioritizes various complex and urgent disability-related needs, and appropriately escalates acute issues to management.
  • In consultation with the Assistant Director of Instructional Support reviews and interprets complex evaluations and disability documentation to determine eligibility, needs for services, and associated accommodations to ensure equal access.
  • Under the supervision of the Assistant Director of Instructional Support reviews disability documentation for accuracy, completeness and compliance in relation to disability documentation guidelines; manages student’s information with strict adherence to the protection and confidentiality of all student records and in accordance with the Family Educational Rights and Privacy Act (FERPA).

Training And Support

  • Manage a caseload of students who are in the process of registering or require intake interviews; provides orientation, referral, educational planning, and support services.
  • Provides information to prospective students and their parents/families regarding services, university resources, transition questions and concerns, documentation guidelines, and the process for determining reasonable accommodations.
  • Manages incoming inquiries from referring offices, faculty, staff, and students seeking accommodations or information regarding the intake and registration process; prioritizes inquiries to ensure guidance is provided in a timely manner.

Professional Development And Committee Involvement

  • Participate in opportunities that promote learning, growth, and development (e.g., classes, training, committee, webinar, etc.).
  • Contribute to the Division of Student Affairs and Stony Brook University by attending and/or supporting events, activities, and programs sponsored by areas outside of your department (e.g., campus-wide traditions, events, programs, etc.).
  • Other duties or projects as assigned as appropriate to rank and departmental mission.
  • Evening and weekend work may be required at times.

Special Notes

This is a full-time appointment. FLSA Non-Exempt position, eligible for the overtime provisions of the FLSA.

In addition to the employee's base salary, this position is eligible for $3,400 UUP annual location pay, paid biweekly.

Essential Position: This has been designated as an essential position based on the duties of the job and the functions performed. Positions that are designated as such may be required to report to work/remain at work even if classes are canceled, and the campus is working on limited operations in an emergency.
