DISPATCH COORDINATOR -VAN WERT, OHIO

Job Title: Dispatch Coordinator

Department: OFFICE

Reports to CEO

Job summary:

The Dispatch Coordinator is responsible for supporting the daily operations of the dispatch department by coordinating and scheduling transportation activities. This role involves communicating with members of the Dispatch department, drivers, customers, and internal teams to ensure timely deliveries and efficient service.

Key Responsibilities:

· Freight Planning: Proactively plan and tender freight loads 2-3 weeks in advance, ensuring all shipments are scheduled, assigned to driver’s & assets, and confirmed in a timely manner.

· Network Optimization: Analyze and optimize the freight network to maximize operational efficiency, minimize empty miles, and ensure cost-effective transportation solutions.

· Collaboration: Work closely with the rest of Dispatch and the Operations teams to ensure that all planned loads align with available resources and customer requirements.

· Tender Management: Maintain strong relationships with Customers and manage the tendering process, ensuring that load tenders are accepted within the available window of times across different TMS systems.

· Data Management: Track, monitor, and update load information in the Dispatch schedule to ensure accurate and up-to-date information.

· Growth: Maintain a good working relationship with Customers to ensure current good standing and foster an environment that seeks to foster opportunities for growth.

· Problem Solving: Identify potential operational challenges in freight movement and collaborate with teams to create solutions before issues arise.

· Reporting: Provide regular updates and reports on freight planning performance, including metrics on efficiency, cost, and network optimization.

· Safety: Ensure all freight movements adhere to food-grade handling standards and regulations. Make sure to build upon our culture of Safety.

· Communication: Monitor the Dispatch emails, Teams, Samsara messaging and other communication forms to provide accurate, reliable and responsive communication to our customers and the S&H team. This individual must be a strong communicator both verbally and in the written form.

· Cross-Train and Fill in: Be familiar with other dispatch-related roles and assist in covering duties during absences.

· After-hours: This position will require that you be on an on-call rotation for nights and weekends. Adjustments may need to be made due to changes at the Customer, HOS issues, etc.

Qualifications:

· Education: Bachelor’s degree in logistics, supply chain management, business administration, or a related field preferred.

· Experience: Minimum 2 years of experience in dispatch or a similar role within the logistics or transportation industry preferred.

· Licenses/Certifications: CDL-A with tanker endorsement preferred.

· Leadership Skills: Proven experience in leading a team, with strong interpersonal and communication skills.

· Analytical Skills: Ability to analyze data, identify trends, and develop strategies to improve efficiency and performance.

· Technical Proficiency: Familiarity with dispatch software and transportation management systems (TMS). Samsara preferred.

· Problem-Solving: Strong problem-solving skills with the ability to handle multiple tasks and prioritize effectively.

· Adaptability: Ability to adapt to changing circumstances and handle stress in a fast-paced environment.

· Teamwork: Ability to collaborate effectively with team members and provide support in all areas within the department.

· Support Role: Serve as a reliable backup in the department, stepping in to ensure smooth operations when needed.

Working Conditions:

· Hours: Full-time 45 plus, position with the possibility of extended hours based on operational needs.

· Environment: Office setting.

Physical Requirements / Work Environment:

· Ability to sit and / or stand for 8-10 consecutive hours per day

  • Ability to walk, talk and hear, use finger and hand dexterity, bend, stoop, kneel, climb and crouch.
  • Ability to lift up to 15 lbs.

· Ability to travel when needed.

· Ability to adapt to a flexible schedule as needed to ensure continuous operations.
