Accounts Receivable Supervisor for Post Construction Services

Job Summary:

The Accounts Receivable Supervisor for Post Construction Services plays a crucial role in overseeing the accounting operations of our post construction department. They are responsible for managing a team of accounting specialists and ensuring that all billing processes, job setups, and contract reviews are conducted accurately and efficiently. They are also responsible for maintaining strong relationships with clients and resolving any billing-related issues that may arise. This role requires excellent organizational and leadership skills, as well as a strong attention to detail, and the ability to create, change, and improve processes and procedures.

Primary Job Duties & Responsibilities:

· Lead and direct the Post Construction Accounting Department, providing guidance and support to guarantee the accuracy and efficiency of the department’s operations and responsibilities.

· Strong process and procedure skills. Must have the ability to find inefficiencies in current processes and procedures and implement changes where needed to improve department efficiencies overall.

· Work in close collaboration with the corporate accounting team as well as the project managers and sales team, to warrant that the billing processes are aligned with overall business objectives and client satisfaction goals.

· Make sure that all new job setups are completed timely and accurately in the company’s accounting system.

· Review contracts, recommend changes, and provide definitive version to senior leadership for signature.

· Have contract values entered into the company’s accounting system and ensure all future change orders/extensions are entered as well for accurate backlog tracking.

· Ensure all field reports are completed and invoices are created for submission to clients. Make certain that future work orders are created in the company’s accounting system as well.

· Manage overall collection efforts for the team and manage aging for the department to ensure timely collection of funds from clients for services performed.

· Address and resolve client inquiries and disputes regarding billing issues, provide excellent customer service and maintain positive relationships.

· Monitor and maintain client accounts, guaranteeing that all billing records are up to date and precisely reflect the services provided.

· Complete Certificate of Insurance Requests as needed.

· Perform other duties and/or complete other projects assigned by senior leadership team.

Knowledge, Skills, and Abilities:

· Proficient in Microsoft Excel.

· Excellent oral and written communication skills.

· Sound analytical and critical thinking skills.

· Robust skillset regarding implementing and changing processes and procedures.

Educational & Experience:

· 3 years of management experience

· 5 years of work experience in accounting.

· Construction industry experience preferred.

· Foundation ERP software experience preferred.

Work Environment & Physical Requirements:

· Work is performed in a typical indoor office environment.

· Prolonged periods of sitting at a desk and working on a computer.

· Must be able to lift and carry office items (e.g., paper, laptops, etc.) up to 15 pounds.
