Job Title: Administrative Assistant

FLSA Status: Non-exempt

Summary Performs complex clerical work of an administrative nature. Provides assistance to management in administrative areas. Works under the supervision of the Administrative Manager.

Essential Duties and Responsibilities include the following. Other duties may be assigned.

Responsible for providing the necessary clerical, organizational and follow-up support for managers.

Type and distribute prepared agendas, materials related thereto.

Answer phones and direct calls when necessary to fill in for Front Desk Coordinator during breaks, lunch, and vacation.

Communicate with clients and direct calls to management with accurate information.

Prepare correspondence as required, memorandum, reports and letters.

Maintain strict confidentiality of all Company matters.

Responsible for establishing and maintaining official documents and records in appropriate files.

May be asked to attend some meetings, seminars, etc., possibly to take notes or furnish information.

Spanish Bi-lingual is not a must but is preferred.

1 year of prior experience in an office setting required.

Experience with Microsoft and Outlook are a must.

Must be familiar with digital organization and record keeping.

Dispatch Assistant – Assist in coordinating field technicians and scheduling projects.

Performs such other duties as may be assigned.

Tasks include, but are not limited to:

  • Assist Managers with any number of requests – i.e. setting up and canceling vendors/credit apps, faxing, scanning, creating worksheets, filing, office set up
  • Phone coverage (when needed)
  • Assist with questions and requests – i.e. forms, procedure questions, file retention, etc.
  • Work with Accounting on variety of items – i.e. Replacement Reserve Questions, utility assistance, change authorized agents, address changes/updates
  • Market Surveys when requested
  • Utility updates
  • Financials – Correct BVL – Quality Control – Distribute
  • Collect reports – Inventory, Inspections, Incident Reports, etc.
  • New Manager Training – Quarterly
  • Maintain Contract Files
  • Personal Property Tax Declarations - Annually
  • Must be able to perform essential functions with or without reasonable accommodation.
  • Regular attendance is an essential function of this position.

Physical Requirements:

  • Prolonged periods of sitting at a desk and working on a computer.
  • Must be able to lift up to 15 pounds at times.

Pay: $20.00 per hour
