Essential Duties and Responsibilities:
Key Responsibilities:
- Assist in the setup of new vendors, ensuring all required documentation is complete and accurate.
- Close out purchase orders (POs) upon completion of deliveries and verification.
- Review and update the Open PO report, tracking estimated time of arrivals (ETAs) and following up on delayed deliveries.
- Address and resolve receiving issues, including shortages, overages, and substitutions.
- Review and correct invoice errors, collaborating with suppliers and the accounts payable team to resolve discrepancies.
- Prepare and submit Concur reports for credit card purchases.
- Serve as a backup for buyers, providing support in order placements, vendor communication, and other purchasing activities as needed.
Education and/or Work Experience Requirements:
- High school diploma or equivalent; associate's degree or coursework in supply chain management or a related field is a plus.
- Strong organizational and time management skills.
- Attention to detail and problem-solving abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Excellent communication skills, both written and verbal.
- Ability to work independently as well as in a team environment.
- Previous experience in a purchasing, procurement, or administrative role is an asset but not required.
- Familiarity with ERP systems or purchasing software is a plus.

Physical Requirements/Work Environment:
This position is based in our Durham location. Office environment. Must be able to sit, stand, bend, twist and lift up to 20 pounds.
