We are seeking a detail-oriented and motivated individual to join our operations team as an Operations Associate. In this role, you will play a key part in supporting our clients by facilitating account and investment onboarding, asset transfers, investment processing, and ongoing client assistance. Your ability to manage multiple tasks with accuracy and efficiency will be essential to ensuring a seamless experience for our clients.

WHAT WILL YOU DO?
Key highlights include:

Client Onboarding & Account Setup
- Gather and review required documentation for new accounts, ensuring accuracy and compliance with company policies and industry regulations.
- Verify client eligibility and ensure all necessary forms and agreements are properly completed and submitted.
- Collaborate with team and financial advisors to ensure a smooth client onboarding experience.
- Maintain accurate records and update internal systems with client information.

Onboarding Assets
- Collect and analyze documentation related to potential alternative assets (e.g., private equity, real estate, promissory notes, private placements, etc.).
- Conduct due diligence on investments to ensure they meet regulatory and company guidelines.
- Communicate with clients and investment sponsors to clarify asset requirements and obtain necessary documentation.

Transfer Processing
- Facilitate incoming transfers of cash and alternative assets from other custodians or financial institutions.
- Ensure proper processing of asset re-registration and documentation to complete transfers efficiently.
- Communicate with other custodians and financial institutions to resolve transfer-related issues.

Investment Funding & Transaction Processing
- Process client investment transactions, including wires, ACH payments, and checks, ensuring timely and accurate execution.
- Work with internal teams to validate funding instructions and verify transaction details.
- Ensure compliance with IRS regulations and internal policies when processing investment transactions.

Client Support & Communication
- Act as the main point of contact for new clients during the onboarding process, providing guidance and timely updates.
- Address client inquiries regarding account setup, transfers, and investment processing.
- Educate clients on IRA investment rules and alternative asset custody processes.
- Other duties as assigned/taken on.
AM I THE RIGHT FIT?
We are searching for self-motivated individuals with a great attitude and proven success in their experience to join our team. The ideal candidate possesses:
- Minimum: High School Diploma/GED and 2-4 years of bank operations or accounting experience; or the equivalent combination of education and experience, which demonstrates the knowledge, skills and abilities to perform the job duties of this position. Some college preferred.
- Knowledge and training in computer systems including Word, Excel, Outlook, and Adobe.
- Strong reasoning abilities including the ability to define problems, recognize inconsistencies and discrepancies, and draw valid conclusions.
- The ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
- Effective verbal and written communication skills, and excellent organizational and time management skills.
- Solid mathematical background and attention to detail.
- Demonstrated initiative to take on new projects and learn new skills; and,
- The ability to successfully work as a member of a team.
