Overview
We are seeking a Customer Service Representative to join our team. The ideal candidate will have a background in customer service, marketing, financial services and possess strong analytical skills. This position offers the opportunity to work in a dynamic environment where customer service excellence is paramount.
Responsibilities
Core functions of the administrative team include;
- Provide a welcoming atmosphere to all prospective and existing clients of the practice through both telephone and face to face contact.
- Provide a timely, accurate, high level of service regarding the execution of all account related transactions.
- Meeting Preparation and Take Down
- General Office Functions
Client Service Representative Tasks/Responsibilities include but are not limited to;
- Processes new accounts
- Processes account transfers
- Processes new contributions and redemptions
- Processes beneficiary changes
- Creates client meeting update books
- Sends update meeting letters
- Coordinates state, insurance & FINRA licensing
- Handles miscellaneous operational activities
- Develops and maintains written systems of all their activities
Management of the Principal’s appointment calendar to include;
- Routinely staying within scheduling parameters as they relate to days and times the Principal is available to meet with clients.
- Management of the annual review and product specific compliance required appointment lists to assure clients are scheduled.
- Management of multiple location appointment scheduling.
- Scheduling of all client appointments (phone, face to face and/or virtual) for the Principal.
Client meeting preparation to include;
- Preparation for and moderation of the weekly set up meeting.
- Communicate with the Administrative Receptionist any documents she will need to prepare for the client meeting.
- Finalize meeting agenda and assure that all requested forms and data are included in client file for the meeting.
- Preparation of gain/loss calculation.
- Timely accurate, complete processing of meeting notes to include assignment of action items.
- Management of current practice reporting tools to assure data reflected on the report is complete and accurate.
- Receive and execute client requests for on line access as well troubleshooting client log on issues.
- Receive client service inquiries for execution.
- Client Service Problem Resolution alerting Managing Director as needed for direction of problem resolution conclusion.
- Scanning Preparation
- Provide exceptional customer service by addressing inquiries and resolving issues promptly
- Analyze customer needs and recommend suitable products or services
- Collaborate with the sales team to support customer acquisition and retention efforts
- Utilize project management skills to handle multiple tasks simultaneously
- Input and maintain customer information in Salesforce or similar CRM software
- Communicate effectively with customers through various channels
- Assist in marketing initiatives to promote products or services
Skills

Pay: $40,218.00 - $44,352.00 per year
