We are a boutique Estate Planning and Business law firm that specializes in drafting estate plans (trusts, wills, powers of attorney), conducting trust administrations, probates, conservatorships, and business formation. We are looking for a specialized Legal Secretary to undertake a variety of administrative and clerical tasks. Daily responsibilities include answering phones, sorting through mail, scanning and filing legal documents, scheduling client meetings, and miscellaneous tasks as assigned.
Responsibilities:
· Effectively communicate with prospective and established clients, colleagues and associated corporate services
· Greet visitors and perform initial screening of clients
· Answer phone calls, take notes/messages and redirect calls when appropriate
· Maintain and update inventories of contact details
· Facilitate the meeting of deadlines by keeping multiple agendas and provide timely reminders
· Data input into Excel or billing software
· Scanning, organizing, labeling and filing client and administrative documents
· Deliver and retrieve documents from County Recorder’s office and courthouse; mail documents at post office as needed
· Miscellaneous tasks as assigned
Required Qualifications:
· Adhere to the highest standards of ethical conduct, particularly regarding confidentiality and the careful handling of sensitive information
· Demonstrate adaptability to multi-task in a fast-paced environment
· Strong knowledge of the English language, including excellent spelling, grammar, punctuation, form, and style
· Exhibit superior organizational skills, attention to detail, and the ability to multitask
· Proficient in Microsoft Office (Word, Outlook, Excel, PowerPoint), DocuSign, Adobe, document management, and time entry systems; experience with Abacus Law is a plus
· Extremely detail oriented and able to multi-task
· Hard working, eager to learn, and engaged during work hours
· Great phone demeanor and ability to communicate in a professional manner
· Knowledge of general administrative and front office procedures
· Knowledge of legal terminology, standard legal practices and court system; familiarity with Estate Planning, Trust Administration, Probate, or Conservatorship experience a plus
· Notary Public a plus
Education:
· High School/GED (required)
· Associates or Bachelor’s (preferred)
Prior Experience:
· Legal secretary, administrative assistance, or similar role (1-2 years)
Location: 502 13th Street, Modesto, CA (in-person)
Pay: $19-$23/hr (depends on experience)
Hours: 36 hours (full time)
