SRG is seeking an experienced Conference and Meeting Manager Journeyman to be part of a team providing comprehensive financial management support services to the Department of Homeland Security (DHS), supporting the five FBD branches: the Budget and Performance Branch, Financial Services Branch, Financial Management Branch, Internal Controls Branch, and the Systems and Information Sharing Branch.
The Conference and Meeting Manager will work within the Financial Services Branch, Conference Management Office (CMO), in support of the following:
· Assist with implementing the federal regulations for hosted and attended conferences.
· Assist with ensuring compliance to Departmental conference approval requirements including reviewing the process to identify areas for streamlining and efficiency into our application of the process.
· Conduct market research on conference venues, costs, a/v capabilities etc.
· Identify and document possible cost reductions.
· Convey DHS conference policies and procedures to S&T offices and follow DHS guidance for all conference, workshops, and reviews.
· Draft conference approval process forms, and conference estimates
· Assist offices in obtaining all necessary conference approvals, such as legal and funds as per DHS Conference Approval policy.
· Liaise with Budget Finance Manager and Budget Analyst to facilitate funding questions, submissions in PR Tracker, approval processes, and budget risks and constraints.
· Develop process, tools, and system to capture estimated conference costs.
· Analyze data monthly, quarterly, and annually to identify trends and optimize conference efficiencies and cost savings.
· Assist with preparation of response to internal and external data calls related to S&T conference activity.
· Conduct and provide ad hoc reporting and analysis.
· Assist with Departmental reporting.
· Develop process, tools, and system to manage conference records.
· Ensure conference files and records are current, well organized and disposed of in accordance with established policies and guidelines.
1. Must possess a bachelor’s degree and a minimum of 5 years' experience in Conference and Meeting Management.
2. The candidate should demonstrate the ability to:
· Absorb, organize, and communicate large quantities of information in a fast-paced environment in a clear, concise, and accurate manner.
· Keep informed of the mission, organizational structure, key personnel, current activities, status of current projects, and any issues affecting the organization.
· Communicate with senior staff, customers, and other staff in a manner that is clear, concise, succinct, and professional.
· Manage a variety of functions simultaneously and with flexibility to work under competing demands and deadlines.
· Operate independently and work collaboratively in a team environment.
· Proficiency in Microsoft Office products including Microsoft Teams and PowerPoint
3. Must be experienced in Windows operating system and Microsoft Office.
4. Must be fluent in written and spoken English.
5. Candidate must have fitness vetting for Public Trust.
Preferred Qualifications:
1. Experience with ConcurGov and Analytical Tracking Systems (STATS).
2. Experience providing support for DHS Financial Support Services.
