Job Overview
We are seeking a dynamic and detail-oriented Meeting Planner with 0 to 5 years of experience to join our team in providing comprehensive meeting planning and coordination services to federal agencies. The successful candidate will be responsible for the seamless execution of meetings, conferences, and events, ensuring compliance with federal regulations and agency-specific requirements.
Key Responsibilities:
Event Planning & Coordination:
- Assist in the planning and execution of federal agency meetings, conferences, and events.
- Coordinate logistics including venue selection, catering, audiovisual needs, transportation, lodging, and on-site support.
- Develop and maintain event timelines, ensuring all tasks are completed on schedule.
Vendor Management:
- Identify, negotiate, and manage relationships with vendors and service providers.
- Ensure compliance with federal procurement guidelines when selecting and contracting vendors.
Budget Management:
- Assist in preparing and monitoring event budgets.
- Track expenses and provide regular budget updates to ensure events are delivered on time and within budget.
Client Communication:
- Serve as the primary point of contact for federal agency clients regarding meeting and event logistics.
- Provide clear and timely communication to all stakeholders, ensuring their needs and expectations are met.
Compliance & Documentation:
- Ensure all events comply with federal agency policies, procedures, and security requirements.
- Prepare and maintain detailed records and reports related to event planning and execution.
On-Site Support:
- Provide on-site support during meetings and events, ensuring smooth operations and troubleshooting any issues that arise.
Post-Event Evaluation:
- Collect and analyze feedback from participants and stakeholders to assess event success.
- Prepare post-event reports and recommendations for future improvements.
Qualifications:
- Bachelor’s degree in Event Management, Hospitality, Business Administration, or a related field (preferred).
- 0 to 5 years of experience in meeting/event planning, preferably within a federal government setting or contracting environment.
- Strong organizational and multitasking skills, with an ability to manage multiple events simultaneously.
- Excellent communication and interpersonal skills, with a customer-focused approach.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and event management software.
- Knowledge of federal regulations and compliance requirements related to event planning is a plus.
- Ability to work independently and collaboratively in a fast-paced environment.
Work Environment:
This position may require occasional travel to event locations and client sites. The role may also involve evening or weekend work depending on event schedules.
