JOB SUMMARY

Under the general direction of the Health Information Team, the HIM Department Analyst has the general responsibility of maintaining medical records in accordance with TJC, federal, state, and local guidelines, organizational and departmental policies, and procedures. Communicates with medical staff, other departments, and outside agencies while maintaining confidentiality. The position requires self-motivation, creativity, and capabilities to function in a semi-autonomous role within a fast pace and dynamic environment.

STANDARDS OF PERFORMANCE

  • Analyzes for errors, updates, and distributes census sheets.
  • Verifies all inpatient/outpatient discharges have been received and assembles the medical records according to the current approved medical record format within three days of discharge.
  • Creates the physician’s deficiency list and sends it to the physician. Assists physicians in the completion of medical records.
  • Maintains the master patient index (MPI), generates a medical record number for temporary outpatient accounts, pulls and files inpatient/outpatient records, and reports timely and accurately.
  • Ensures departmental adherence to proper infection control, OSHA and safety standards, maintains work area in a neat, clean, and organized manner.
  • Has the ability to perform all aspects of processing all records according to department policies and procedures.
  • Makes recommendations to Health Information Management Coordinator /Manager and assists in developing new programs and research for special projects.
  • Responsible for maintaining organizational facilities in accordance with TJC, federal and state, organizational and departmental policies, and procedures.
  • Can mentally trace the records as they flow through various sections of the department and hospital.
  • Consistently demonstrates the ability to recognize and deal with priorities promptly. Can organize work before attempting an assignment.
  • Prepares discharge and expired outpatient records for storage and destruction.
  • Reports all required statistical data monthly.
  • Able to act as ROI Specialist to release information to patients and doctor offices.
  • Collect data for performance improvement and report that data to the HIM management team and analyze day surgery charts.
  • Scan information into the EMR database system.

CONDITIONS OF EMPLOYMENT

  • All employees must be screened daily at COVID-19 screening stations (ER entrance and Therapy entrance) before the start of the shift and comply with mandatory face masking.
  • All employees must complete criminal background checks and/or fingerprint background checks if applicable for the position.
  • All employees must possess and maintain a valid and active incumbent Georgia Licensure and or certification based on Job description eligibility requirements.
  • All employees must comply with the EHS drug-free workplace policy and successfully pass pre-employment and post-employment drug screening requirements.
  • All employees must wear proper PPE based on their designated Job Title:
  • Materials Management, Environmental Services, and Maintenance staff must wear back brace while lifting anything 25 pounds or higher.
  • Care Center direct resident care staff must wear a back brace and gait belt at all times while on duty.
  • Clinical staff are required to wear proper PPE designated to their function and duties.
  • All employees are required to identify a financial institution for direct deposit of pay before the start of employment and during employment tenure.

Requirements

Minimum Level of Education: Education level equivalent to a high school diploma.

Formal Training: Skills and experience in organizing, implementing, facilitating, and verbal and written communications.

Licensure, Certification, Registration: None required

Work Experience: Experience in records management or any aspect of the healthcare or related industry is preferred but not mandatory. Must be experienced with general office equipment.
