The Assistant Operations Manager will work closely with the Director of Field Operations to ensure smooth coordination and execution of all field-related activities across various construction projects. The ideal candidate will assist in managing project workflows, support field teams, and maintain compliance with company standards to achieve project success.
Key responsibilities include:
- Assist the Director of Field Operations with day-to-day oversight of field activities, ensuring alignment with project goals and timelines.
- Support the solicitation of proposals and the selection of specialty contractors and subcontractors.
- Collaborate with architects, engineers, and designers to facilitate the development and review of construction documents.
- Assist Project Managers in writing scopes of work, negotiating contracts, and managing project buyout processes.
- Prepare and submit RFIs (Requests for Information), submittals, OCOs (Owner Change Orders), and COs (Change Orders) to ensure timely resolution of project requirements.
- Coordinate with permitting consultants to facilitate the submission and acquisition of building permits from local municipalities.
- Prepare and distribute meeting minutes, ensuring clear communication and documentation of project progress.
- Support the punch list process by assisting with walk-throughs, documenting issues, and coordinating resolutions.
- Attend and actively participate in project coordination meetings, including owner/contractor/architect/engineer (OAC) meetings as requested by the Director of Field Operations.
- Research and recommend solutions for design conflicts, interference, and documentation errors/omissions.
- Monitor fieldwork to ensure compliance with project specifications, building codes, and company quality standards.
- Manage and maintain clear, trackable document control systems using project management software to handle RFIs, submittals, and agreements.
- Assist in project closeout tasks, including obtaining Certificates of Occupancy, submitting as-built drawings, completing punch lists, coordinating owner move-in and training, and ensuring warranty documentation is delivered.
- Coordinate periodic job site photography for project documentation and records.
- Provide general administrative and operational support to the Director of Field Operations as needed.
- Perform other duties as assigned by the Director of Field Operations or management.
QUALIFICATIONS:
- Bachelor's degree in construction management, engineering, or a related discipline.
- 2-5 years of experience as an Assistant Project Manager, Field Operations Coordinator, or a similar role with a general contractor.
- Strong familiarity with construction project management applications. Experience with CMiC is preferred but not required.
REQUIRED SKILLS:
- Excellent communication and interpersonal skills to interface with owners, architects, engineers, building officials, subcontractors, and field teams.
- Strong leadership and problem-solving abilities to support field teams and drive project success.
- Highly developed project management and financial acumen to assist in project budgeting and cost management.
- Experience with ground-up commercial construction projects is required. Renovation experience is a plus.
- Strong organizational skills with a keen attention to detail and document control.
- Ability to read, interpret, and understand architectural and engineering drawings and specifications.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and project scheduling software.
- Adaptable and capable of managing multiple priorities in a fast-paced environment.
