The Straz Center for the Performing Arts is seeking an Executive Assistant to the Chief Development Officer (CDO). This position provides administrative support and organizational coordination to the CDO and gift officers to meet the fundraising goals and mission of Straz Center. In this role, the Executive Assistant provides general administrative support to the CDO that includes calendaring, budget management, coordination and support of board governance activities and database interface. The position involves contact with internal and external stakeholders, including donors, board members, staff and volunteers and requires the ability to anticipate needs, think critically and provide excellent service with a high level of professionalism and discernment.

Essential Functions:
- Supports the Chief Development Officer with scheduling and coordination of related logistics for active calendar of meetings and events.
- Assists in preparation of meeting materials for board meetings, along with the scheduling and preparations for relevant board sub-committees.
- Assists with scheduling, meeting preparations, records management, administrative reporting and related tasks for the Board Governance committee.
- Handles arrangements for on-site visitors. Welcomes guests and donors by greeting them, in person or on the telephone.
- Drafts written correspondence for CDO and gift officers as requested.
- Maintains master records of Board committee members and committee charters and ensures all work is well-documented and appropriately approved and archived.
- Tracks, processes, and manages Development Dept. invoices and expenses. Maintains department budget expense detail and prepares monthly reconciliation reports, including basic accounting tasks.
- Manages CDO corporate purchasing card reporting.
- Maintains accurate data information in Tessitura to track Public Officials and Board of Trustees. Assists in updating donor records as needed.
- Maintains overall working knowledge of Tessitura; generates list pulls for strategic communications and assists with department mailings.
Supervisory Responsibilities:
- This position has no supervisory responsibility.
Education, Work Experience, Qualifications:
- College degree preferred. Equivalent experience may be substituted.
- Five years administrative experience involving contact with the public.
- Prior experience working in supporting role that required high degree of professionalism; independence and working with a database.
- Development experience or work with a non-profit organization preferred.
- Exceptional interpersonal skills and ability to interact with different personalities effectively and diplomatically; ability to maintain a high level of confidentiality.
- Excellent administrative and organizational skills; ability to prioritize work in a fast-paced environment.
- Excellent computer skills and proficiency in MS Office; willing and able to learn Straz Center's database system.
- Demonstrated success maintaining accurate records and attention to detail.
