Job Summary:
The Operations Specialist plays a critical role in ensuring the smooth and efficient management of a client’s portfolio. This position involves overseeing day-to-day operations, coordinating maintenance activities, creating & managing vendor relationships, and supporting the management team to deliver high-quality services to our clients.
Key Responsibilities:
Operations:
- Oversee daily property management operations, including client communications, contract management, and compliance with company requirements
- Locate & identify local service providers
- Coordinate and schedule maintenance and repair activities, ensuring timely and cost-effective solutions.
Vendor and Contractor Management:
- Manage relationships with vendors, contractors, and service providers to ensure high-quality service delivery.
- Conduct regular performance evaluations of vendors and contractors
Compliance and Risk Management:
- Oversee / coordinate property inspections to identify potential risks and ensure that all properties are maintained to the highest standards.
Team collaboration:
- Collaborate with management to achieve company goals and objectives.
- Provide support to management on operational procedures and best practices.
- Participate in regular team meetings and contribute to process improvement initiatives.
Qualifications:
- Bachelor’s degree in business administration, real estate, or a related field (preferred).
- Strong understanding of property management principles, financial management, and vendor relations.
- Excellent communication, negotiation, and problem-solving skills.
- Ability to work independently, manage multiple priorities, and meet deadlines.
- Willingness to learn new skills paired with an ambition to succeed
- Proficient with Microsoft Office
