Job Description:
We are seeking a highly organized and detail-oriented Construction Administrator to join our growing team. This position is ideal for someone with solid experience in the construction industry, and a strong understanding of submittals, insurance, billing, and project documentation. The Construction Administrator will work closely with project managers, contractors, and vendors to ensure that construction projects run smoothly and efficiently.
Key Responsibilities:
- Manage Submittals: Review, track, and coordinate project submittals and approvals to ensure all documents are submitted and approved on time.
- Billing and Invoicing: Assist with the preparation of billing documents, including change orders, progress invoices, and final invoicing to ensure accuracy and timely processing.
- Insurance Coordination: Maintain up-to-date records of insurance certificates and coverage for all contractors and vendors involved in the project.
- Project Documentation: Maintain accurate and organized project files, including contracts, permits, and inspection reports.
- Vendor and Subcontractor Coordination: Communicate effectively with subcontractors, vendors, and suppliers to facilitate smooth workflow and resolve any issues.
- General Administrative Support: Provide administrative support to project managers, including scheduling meetings, preparing reports, and handling correspondence.
Requirements:
- Experience: Minimum of 1-3 years of experience in construction administration or a similar role within the construction industry.
- Skills:
- Strong knowledge of construction submittals and document management.
- Familiarity with insurance requirements for construction projects.
- Proficiency in billing and invoicing processes for construction projects.
- Excellent attention to detail and the ability to manage multiple tasks concurrently.
- Strong communication skills, both written and verbal.
- Ability to work independently and as part of a team.
- Proficiency in Microsoft Office (Excel, Word, Outlook) and construction management software (e.g., Procore, Buildertrend) is preferred.
Preferred Qualifications:
- Knowledge of construction contracts and change order processes.
- Experience with project management software and financial systems related to construction projects.
- Ability to handle sensitive and confidential information.
