Overview: We are seeking a highly motivated and organized Administrative Assistant to join our team and play an integral role in supporting our clinic’s transition into a physical location. This position offers an exciting opportunity to work in a collaborative and patient-focused environment. You will be the face of the clinic, ensuring the seamless operation of front-office duties and providing outstanding service to our patients.
Responsibilities:
- Perform front office duties, including managing inbound/outbound calls, voicemails, and faxes.
- Schedule and confirm patient appointments, handle referrals, and coordinate care as needed.
- Verify patient insurance benefits and ensure demographic and insurance information is accurate in the EMR system.
- Collect payments, including copays, deductibles, and self-pay amounts, and reconcile daily collections.
- Assist patients with completing forms such as screening tools, intake paperwork, and consent forms.
- Maintain email communication with patients, coworkers, and external agencies daily.
- Serve as the administrative support liaison between the practitioner, other professionals, and agencies related to patient care.
- Ensure compliance with HIPAA regulations to protect patient and employee privacy.
- Support the clinic with general administrative duties as needed during the transition phase.
Qualifications:
- High School Diploma or equivalent required; medical front office experience preferred.
- Strong organizational skills with the ability to multitask and prioritize in a fast-paced environment.
- Excellent communication and interpersonal skills.
- Proficiency with electronic medical record (EMR) systems and basic office software (e.g., Google Docs).
