About the position
Reporting to the President and CEO, the Executive Assistant will provide administrative support to the executive office and will play an important role as the first and primary contact for StriveTogether's Executive office. The Executive Assistant will manage calendars, expense reports, communication and follow-up, as well as other administrative tasks. The Executive Assistant will also serve as the primary liaison to the Board of Directors, working to schedule meetings, set agendas, prepare materials, take meeting minutes, and orchestrate meeting logistics virtually or in-person. The Executive Assistant provides vital support to the chief executive officer to help prioritize their time and ensure they have the materials, meetings, and relationships needed to achieve results.
Responsibilities and Duties
Administrative (70%)
- Provide sophisticated calendar management for the CEO. Prioritize inquiries and requests while troubleshooting conflicts; make judgements and recommendations to ensure smooth day-to-day engagements.
- Complete a broad variety of administrative tasks that facilitate the CEO’s ability to effectively lead the organization including: assisting with special projects; designing and producing complex documents, reports, and presentations; collecting and preparing information for meetings with staff and external stakeholders; composing and preparing correspondence; maintaining contact lists; making travel arrangements; and completing expense reports.
- Serve as the primary point of contact for internal and external constituencies on all matters pertaining to the CEO, including those of a highly confidential or critical nature. Prioritize and determine appropriate course of action, referral, or response, exercising judgement to reflect CEO’s style and organization policy.
- Work closely with the CEO to keep them well informed of upcoming commitments and responsibilities, following up appropriately. Act as a "barometer," having a sense for the issues taking place in the environment and keeping the CEO updated. Anticipate CEO’s needs in advance of meetings, conferences, etc.
- Provide "gatekeeper" and "gateway" role, providing a bridge for smooth communication between the CEO and staff, demonstrating leadership to maintain credibility, trust, and support with the Executive Team. Complete projects by assigning work to appropriate staff, including the Executive Team, on behalf of the CEO.
- Work with the Executive Team to coordinate the CEO’s outreach activities. Follow up on contacts made by the CEO to cultivate ongoing relationships.
Board Management (30%)
- Act as a liaison and provide administrative and strategic support to the Board of Directors.
- Work closely with chief executive officer on communications and planning.
- Arrange and handle all logistics for Board meetings and events: schedule quarterly Board and committee meetings; draft agendas; develop, compile, and distribute Board Book and presentation materials; and record meeting minutes on behalf of Board Secretary.
- Attend all Board meetings and provide day-of meeting support to ensure successful execution.
- Adhere to compliance with applicable rules and regulations pursuant to established bylaws.
- Maintain retention of Board-related resolutions and files.
- Maintain up to date contact information for all Board members in all relevant databases, listservs, and address books.
Qualifications and skills
Required Qualifications
- Motivated by StriveTogether’s mission and exemplifies the core values of StriveTogether
- Significant executive support experience, including supporting C-level executives
- Expert proficiency with Microsoft Office and desktop publishing software; ability to design and edit graphic presentations and materials
- Excellent verbal and written communication skills. High degree of professionalism in dealing with a range of audiences, including Board members, senior executives, staff, funders, and partners
- Exceptional organizational skills and impeccable attention to detail. Able to complete a high volume of tasks and projects with little or no guidance and make appropriate, informed decisions regarding priorities and available time.
- Excellent judgment. Ability to react with appropriate levels of urgency to situations and events that require quick response or turnaround. Ability to switch gears at a moment’s notice.

Location and Work Requirements
This role is based out of StriveTogether’s downtown Cincinnati headquarters. Cincinnati employees have a hybrid work schedule and come into the office three times per week. The dog-friendly office features company-paid parking, a rooftop deck, and snacks and beverages.
Work Demands:
- Ability to effectively use remote work technology, including Slack, Zoom and other technology
- Up to 10% travel required
Compensation and Benefits
This is an exempt position with an anticipated salary range of $80,000 - $95,000. StriveTogether also provides competitive benefits and professional development opportunities including:
- 15 days paid time off with an additional four personal days, eleven holidays, and a five-day break at the end of the year. PTO increases to twenty days after five years and staff members can apply for sabbatical in their seventh year of employment.
