Job Summary:
The Accounting Assistant is an integral member of Structor’s accounting and finance department, responsible for providing excellent customer service to the accounting department, employees, clients and vendors. The Accounting Assistant will support the overall mission, vision and values of Structor.
Job Responsibilities:
- Process and review pay applications submitted by subcontractors and suppliers to verify accuracy and compliance with contractual terms and project specifications.
- Collaborate with project managers to gather necessary documentation and supporting details for pay applications, including progress reports, invoices, and lien waivers.
- Maintain organized records of pay applications, invoices, change orders, and other relevant financial documents.
- Prepare pay application packages for submission to clients, ensuring completeness and accuracy of all required documentation.
- Coordinate with internal and external parties to resolve any discrepancies or issues related to pay applications in a timely manner.
- Generate reports and updates on pay application status, budget vs. actual costs, and project financial performance as needed.
- Assist in the preparation of monthly financial statements and reports, including reconciliation of pay application amounts with project budgets and forecasts.
- Stay informed about industry regulations, best practices, and emerging trends related to pay applications and construction accounting.
- Provide support during audits and compliance reviews by compiling requested documentation and responding to inquiries from auditors.
Minimum Qualifications:
- Bachelor's degree in Accounting, Finance, or related field, preferred.
- At least two years of experience in accounting, preferably in construction or related field, with a focus on pay applications preferred.
- Knowledge of finance, accounting, taxes and related principles and practices.
- Strong understanding of construction contracts, billing processes, and project accounting principles.
- Proficiency in accounting software and Microsoft Excel.
- Excellent analytical skills with high attention to detail and accuracy.
- Effective communication and interpersonal skills.
- Ability to multitask, prioritize workload, and meet deadlines in a fast-paced environment.
- Commitment to maintaining confidentiality and upholding ethical standards in financial transactions.
Working Conditions and Physical Requirements:
This role is conducted at a desk setting in an office environment that is typically quiet to moderate. The position is typically sedentary requires, with or without accommodation, the ability to sit for long periods of time, operate a computer and communicate in person and via telephone. At times, lifting or moving objects up to 20 pounds may be required.
