Title:
Executive Assistant
Primary Function:
The Executive Assistant works as part of the Executive Team to provide administrative support to the Business Unit Leaders at StructureTec's corporate office in Kalamazoo, Michigan.
Reports To:
Executive Manager
Responsibilities:
· Manage and maintain Executive schedules, including scheduling travel and conferences, making appointments, and making changes to appointments.
· Support the coordination of corporate training activities.
· Taking the lead on strategic initiatives important for company culture and company success.
· Prepare executive memos, letters, and correspondence.
· Monitor, screen, respond to, and distribute incoming communications.
· Maintain client relationships; provide support to business development efforts.
· Support coordination of corporate meetings and events.
· Record, transcribe, and distribute minutes of meetings.
· File and retrieve documents and reference materials.
· Assist in introductory email, mail, and phone campaigns.
· Manage appointment tracking agenda creation, distribution, and aerial image setup.
· Assist with set up and management of vendor platforms for compliance.
· Secure appointments, on behalf of National Account Manager, with profile facilities management decision makers from targeted National and Regional Accounts.
· Engage in follow-up and follow-through sales development activities; with the objective of nurturing opportunities into proposals and turning proposals into contracts.
· Support client calls – schedule and attend meetings with National Account Manager, take notes, and follow up communication.
· All other duties as apparent or assigned.
Qualifications:
· Minimum 2-3 years of experience supporting a C-Level Executive or Senior VP
- Quick learner and computer-savvy. Proficiency in Microsoft Office products (Outlook, Excel, PowerPoint, Word).
- Long- and short-term perspective; can think ahead and see the big picture while digging down into the daily details.
- Strategic – able to prioritize incoming requests quickly and maintain a fast pace.
- Strong administrative skills with emphasis on organizational abilities, interpersonal communications, confidentiality, telephone, and math skills

Benefits:
Your first sixty (60) days of employment with StructureTec are considered an Introductory Period, and upon completion of that time you will be eligible for the benefits as described in the StructureTec Employee Manual.
Job Type: Full-time
Pay: $50,000.00 - $60,000.00 per year
