Job Summary:

The SBMH Program Support Specialist will manage the delivery of a high-quality administrative service that supports the day-to-day smooth running of the SBMH department as well as its longer-term strategic planning and development processes. The specialist would help maintain and track student data related to mental health services as well as coordinate the availability and delivery of mental health resources, ensuring that students have access to the appropriate services. They may also assist in developing outreach strategies to raise awareness of available services within the school community.

Knowledge, Abilities and Skills:

• Knowledge or experience with electronic time and attendance systems.

• Strong customer service skills; Strong oral and written communication skills.

• Skilled in data entry; Advanced Proficiency with Microsoft Office 365 applications.

• Strong problem solving and decision-making skills.

• Ability to work independently, prioritize, show flexibility, possess analytical skills, be attentive to details, listen, and support teamwork.

• Ability to assemble and organize data and to prepare reports from such data.

• Ability to handle confidential and controversial matters with discretion and confidentiality.

• Strong organizational and time management skills.

• Excellent math aptitude.

• Must be able to read and interpret complex materials.

• Must demonstrate the ability to manage priorities and workloads.

• Must be dependable, able to work under pressure and meet deadlines as required.

 

Duties and Responsibilities:

 

While speci?c duties may vary according to the needs of the grant, the duties of the SBMH Program Support Specialist shall be those assigned to him/her by the SBMH Project Director, which may include the following:

 

· Serves as a paraprofessional provider of mental health promotion, support and education to colleagues and other stakeholders.

· Serves as communications link between assigned unit and internal and external contacts (e.g. partners, vendors, etc.).

· Conducts comprehensive clerical research using a variety of resources to generate reports and respond to requests.

· Completes tasks and assignments associated with administrative support functions in areas such as: personnel, budget, bookkeeping, referrals, student support service records, etc.

· Establishes and maintains filing and record-keeping systems.

· Monitors use, secures, and maintains supplies, equipment and/or facilities for assigned unit.

· Processes incoming mail, routes to appropriate personnel, prepares replies to correspondence or routes to appropriate personnel to reply and follows-up to ensure appropriate action has been taken.

· Maintains the department’s calendar to ensure planning integrity throughout the department. Secures program staff for coverage of community and school outreach events.

· Handles all procurement and accounting procedures for the department (retrieving quotes, keying requisitions, placing orders, receiving items, etc.); Assists the Project Director in managing the department budget.

· Maintains and regularly updates the district school resource map directory.

· Coordinates travel arrangements for the department, prepares all travel expense statements, serves as the travel contact for district meetings held in- and out-of-town, and assists in the coordination of events for the department.

· Assists the Project Director with planning SBMH meetings, training and special events by securing locations, materials, providing on-site assistance, etc.

· Drafts reports from the Project Director’s notes to include in weekly announcements.

· Facilitates all new employee orientation for the department.

· Obtains, compiles, organizes, and prepares information and data for various reports, meetings, etc.

· Ensures information packages are complete and meet guidelines.

· Required to have prompt, regular attendance in-person and be available to work on-site, in-person during regular business hours and as needed.

 

Education, Training and Experience:

· Associate’s degree in business, accounting, psychology, or equivalent work experience required. Bachelor’s degree preferred.

· Experience in providing support to school-based mental health programs and staff (required)

· Demonstrated knowledge of school-based mental health practices in previous work (preferred)

 

SALARY/TERMS/BENEFITS:

 

1. 239-day contract year; 8 hours per day

2. Salary Range: Grade 52 (placement on salary schedule based on years of related experience) Up to ten years allowed. The stated salary range reflects the opportunity for pay over the course of the employee's tenure. For external candidates, the top pay is not a potential starting salary.

3. Excellent benefits package: includes health insurance; dental and life insurance; employee assistance program; personal, and sick leave; membership in the Teachers' Retirement System.

This position is grant-funded and is currently expected to end on December 31, 2029, contingent upon continued funding. Employment beyond this date is not guaranteed.
