What are the responsibilities and job description for the Legal Receptionist/Secretary position at Student Legal Services?
Student Legal Services (SLS) is a non-profit law office for university students. The SLS mission is to remove barriers to academic success by providing access to high-quality legal advice, representation, education, and resources. (Note: SLS is not a University department).
SLS is currently seeking a Legal Receptionist / Secretary for the office serving students at Kent State University. The Legal Receptionist / Secretary must be organized, efficient, and detail-orientated. The ideal candidate must be passionate about the SLS mission and understand the unique role of this position. The Legal Receptionist / Secretary is the “face” of the organization, the first impression. The winning candidate will be customer service minded, creating a pleasant and consistent experience for the diverse individuals who interact with SLS. The Legal Receptionist / Secretary keeps SLS running smoothly from scheduling the first appointment to closing the student’s file and everything in between. The Legal Receptionist / Secretary must be dependable, on-time, and ready to work in the office each day.
The ability to multi-task with superior professionalism and interpersonal communication is a must. The Legal Receptionist / Secretary will switch from one task to another without missing a beat. Exceptional computer and technology skills are also required to utilize SLS’s online case management system, scheduling software, and email/calendaring.
Preferred qualifications: Bachelor's degree. 1 year of professional work experience, preferably in law related field.
Schedule: Legal Receptionist / Secretary will work in our office at 165 E. Main Street, Kent, Ohio during business hours of Monday - Friday, 8 a.m. - 5 p.m. with generous holiday and vacation leave.
Responsibilities include:
- Positive and friendly first impression for all visitors in the office, over the phone, or via email
- Efficient operations of the front office
- Maintain grace under pressure in this high-volume, fast paced environment
- Provide wide range of administrative support to the SLS team including scheduling appointments and handling phone calls and emails
- Prepare appointment paperwork
- Receive, sort and route mail
- Maintain general office email inbox and calendar
- Manage office supply inventory
- Open and close files in an online case management database
