Role Overview:
We are seeking a motivated and detail-oriented Part-Time Studio Support & Design Coordinator to support our lead designers at Studio MAK. This role involves a mix of administrative tasks, client and vendor communications, procurement coordination, and project assistance. The ideal candidate will have a strong passion for interior design, excellent organizational skills, and a willingness to learn and grow within our team.
Role & Responsibilities:
- Administrative Support: Assist three lead interior designers with administrative and detail-oriented tasks.
- Client & Team Meetings: Participate in meetings with the design team and clients.
- Design Presentations: Update design presentations with final selections.
- Procurement Coordination: Manage the FF&E procurement process, including coordinating orders for furniture, fixtures, and materials.
- Invoicing: Draft and send invoices to the lead designer for approval.
- Software Management: Utilize procurement software to track and manage orders and communications with the receiving warehouse.
- Vendor Relations: Work with vendors and the receiving warehouse on resolutions for defects, back orders, and returns. Source material samples and pricing based on current project needs.
- Database Maintenance: Maintain a vendor database, establish new vendor accounts, and maintain Studio MAK material library.
- Scheduling: Schedule vendor meetings and site visits for active projects.
- Client Liaison: Act as the primary liaison between clients, leads, and vendors for procurement-related communications.
- Communication Management: Manage email communications and calendars for company and lead designers.
- Project Coordination: Produce care and maintenance packets, coordinate initial phases of projects, and assist with consultations, walkthroughs, and installations.
Proficient In:
- Gmail and Google Drive (Slides, Sheets, Docs, Forms)
- Microsoft Suite
- Interior Design Software (Input leads into CRM, manage project management software)
- Canva
Skills:
- Previous experience in office administration, preferably in interior design procurement.
- Ability to multitask and prioritize effectively.
- Strong verbal and written communication skills.
- Passion for providing exceptional service.
- Strong interpersonal abilities for building rapport with clients and vendors.
- Ability to work collaboratively in a team environment.
- Well-organized with strong attention to detail.
- Maintain a professional presence with trade vendors and clients.
- Willingness to take on tasks outside of normal responsibilities.
- Ability to measure, read, and interpret dimensions.
- Basic math skills required.
Compensation Expectations:
- $22.00 per hour
- Expected hours per week: 15-25

Requirements:
- Able to lift and mobilize small to medium items (up to 50 lbs.) using proper tools
