JOB SUMMARY :
Studio T Arts & Entertainment, a nonprofit youth empowerment & arts organization, seeks a detail-oriented, highly organized and community-minded individual to join our administrative team as Executive Assistant. Reporting to the Executive Director, this position offers growth potential and a wide variety of tasks. The Executive Assistant provides administrative and clerical support to the ED and serves as liaison to the Board of Directors. This position requires a proactive approach to problem-solving and to working within an environment that is diverse, mission driven and ever changing. The ideal individual will have the ability to exercise good judgment in a variety of situations and will possess strong communication, administrative, and organizational skills.
DUTIES AND RESPONSIBILITIES :
The Executive Assistant reports to the Executive Director. Primary duties :
- Provide administrative support to Executive Director including managing the calendar, scheduling meetings / appointments, overseeing correspondence / posts / marketing material, making travel arrangements, etc.
- Coordinate ED's events with other program departments and staff
- Utilize Google Suite and Microsoft products to facilitate shared calendars, files and travel documents
- Perform filing, typing, data input and other clerical support for Executive and, occasionally, senior program staff
- Coordinate, book and account for, travel arrangements for the Executive and senior staff
- Prepare, edit and distribute letters, memos, reports and other departmental correspondence on time
- Schedule, prep for and attend staff meetings
- Daily mail sorting / delivery
- Arrange for flowers / gifts as requested
- Clip” and file media stories related to the Organization
- Assist Executive Director and Board President in Board and Committee meeting preparation
- Ensure meeting announcements are distributed in advance to board and committees, per regulations & governing documents
- Distribute meeting minutes and materials for board and committee meetings
- Make calls and track board meeting documentation
- Assist with Board meeting logistics, room set up, and refreshments as needed
- Assist in other administrative tasks as needed
- Establishing and maintaining relationships with vendors and venues and community groups
- Coordinate CEOs public events with other program departments and staff
- Plan in-house Studio T events with assistance from the CEO and lead program personnel
- Coordinate organization’s calendar with various events and balance human resources and facility spaces
- Coordinate with other program departments to ensure everyone is aware of their responsibilities for the event / s; provide timelines for completion
- Planning event details and aspects, including seating, dining and guests
- Managing events and addressing potential problems that may arise
- Planning for potential scenarios that could impact the integrity of the event
- Maintaining a working knowledge of the complex needs of a wide variety of events
GENERAL WORKING CONDITIONS / BENEFITS :
Job Type : Full-time
Pay : $50,000 to $65,000 per year
Expected hours : 40 per week; Scheduled in 8 hour shifts over work week of Mon-Fri with occasional weekend event responsibilities
