Who Are We?
We are a small tutoring center for specialized entrance exams (SAT, ACT, AP, Regents, etc.) and subject enrichment for middle school and high school students. We have 3 private rooms that cater to a one-on-one to small group setting to bring more focus to the tutoring sessions.
Job Summary
We are seeking a highly organized and detail-oriented Office Operations & Outreach Specialist to join. The ideal candidate will provide essential support for operations, ensuring that administrative tasks are completed efficiently and effectively. This "temporary" role requires flexibility, resilience, strong time management skills, proficiency in clerical duties, and the ability to handle various office management tasks. The Office Operations & Outreach Specialist will be the representative for the operations and should have an infectious positive energy that will translate to both their work and peers. Great for current university/college students and/or those that are recent graduates.
Important Things to Consider
This is a short-term temporary position with potential to become long-term as currently we are aiming to capture clients and grow. Mostly will be an "as-needed" basis in the beginning that may focus more on marketing and outreach, but eventually become broader in scope.
We are a new small, private tutoring center that needs a strong, positively motivated individual to assist with marketing, getting leads, attending events, communicating with parents/students, and other related duties. In the beginning it may be slow, but as we pick up the pace I am sure it will be a fruitful endeavor. We want this individual to grow together with our tutoring center, and I'm hoping to find the right person!
Duties
- Manage daily office operations, including filing, data entry, and maintaining organized records.
- Assistance with hiring and interviews as needed
- Answer phone calls and manage phone systems to ensure effective communication within the office.
- Assist with scheduling appointments and managing calendars for team members.
- Proofread documents for accuracy and clarity before distribution.
- Coordinating tutoring appointments.
- Maintain office supplies inventory and place orders as necessary.
- Provide clerical support, including typing correspondence, reports, and other documents.
- Collaborate to ensure smooth workflow and assist with special projects as needed.
What Skills Do You Bring?
- Experience as an Administrative Office Assistant, Marketing Outreach Assistant or a similar clerical role.
- Strong time management skills with the ability to prioritize tasks effectively.
- Proficiency in office management software and phone systems.
- Excellent proofreading skills with attention to detail.
- Ability to work independently as well as part of a team.
- Strong communication skills, both written and verbal.
- High school diploma or equivalent; additional qualifications in Office Management or Administration are a plus.
- Proficiency in an additional language is a plus.
