What are the responsibilities and job description for the Client Services Assistant position at Stulz Air Technology Systems, Inc.?
Note: This is a hybrid position, requiring 2 to 3 days in the office each week.
Summary: Support the Order Management team - including the Order Management Supervisor, and Program/Project management team, with daily administrative tasks.
Essential Duties and Responsibilities:
- Attend operation calls and answer external customer calls as a representative of STULZ with proper follow-up directives
- Attend and answer internal calls as a representative for the Client Services team
- Dictate meeting minutes as deemed necessary with proper follow-up
- Draft, review, and send communications on behalf of the company/Client Services team
- Create, maintain, and update project tracking systems – Trello, Excel, MS Project
- Input data into 3rd party sites- i.e. Compass – client requirement for project close-out
- Assist in the preparation of regularly scheduled reports – external and internal requirements
- Accurately enter order details
- Manage Cyberselect Queue and email inboxes for order processing on a First-In/First-Out (FIFO) basis
- Communicate effectively with representatives and customers regarding order status, shipping information, and change requests
- Provide general support to clients/visitors
- Maintain the Lead Time Quote Log for Order Processing Department and executive management review
- Process shipping quote requests in coordination with the Traffic Department and manage re-consignment requests as needed
- Provide tracking information and shipment updates as required
- Prioritize emails and follow-up
- Order confirmations & scheduling tasks
- Documentation support
- General office/clerical duties as assigned by the Client Services Manager
Qualifications:
- Experience with Customer Service, Order Processing, and Logistics/Shipping
- SAP experience preferred
- Analytical computer skills with Microsoft Office products (Word, Excel), as well as Trello
- Strong administrative and organizational skills
- Must be able to work independently
Education/Experience:
- High School diploma or GED. Associate degree or higher preferred
- 1-3 years experience as an office assistant or related field
- Type 40 WPM or more
Hourly Pay: Starting at $18 - $20
